Tags and their use
A tag is a piece of descriptive information that is assigned to an item. Tags are used to filter items displayed on the Items list.
Like tags, categories can be used to filter items on the Items list. But a category is a broad grouping of related items, while a tag is narrow in its focus and finds an item by a characteristic. Let’s see how categories and tags work together in providing display results.
The Change Filter on the list page allows the filtering of items according to tags and category. For example, if I select the category Bedroom Furniture but do not specify any tags, the Items list will display every item that has been assigned to the Bedroom Furniture category. But I don’t really want to see all bedroom furniture. I just want to see the beds that are made from cherry. To narrow the list of items displayed, I am going to refine my filters by adding bed and cherry in the tags field. Now I have a much shorter list that is focused on the products I actually want to see. The category and tags that are assigned to each item can be viewed in the columns of the Items list. These columns are enabled in the Column chooser.
On inventory reports, tags can be included as a column. They do not appear on transactions.
Creating, editing and deleting tags
Tags are created by adding them directly to a new or existing item definition. On the item page, scroll down to the Tags field and enter as many tags as you wish for that item, placing a comma between tags. When finished, save the item definition.
SOS will automatically add the item’s tags to the Tags list. To access the list, go to the Company menu on the Task bar, then select Tags under the Miscellaneous section. You may edit a tag name or delete a tag from the Actions menu.
Although deleting a tag will remove it from the Tags list, it will not remove the tag from any item definitions to which that tag was assigned. Use the t feature on the Items list to locate the items that use the tag, and then edit each item’s definition as needed.
If you want to add, edit, or delete tags for many items, it is easier to make these changes by a bulk edit–a process that involves exporting data from SOS, making changes to that data, and then importing the revised data back into the system.
