V9 - Adding a deposit to a new sales order (SOS Pay)


 

If you enter a deposit on a sales order, please note that this method can be used only on a new sales order in which the deposit is paid via SOS Pay - credit card

 

edit_noteNOTE: Once the sales order is saved (including Save and keep editing), the sales order is no longer considered new. Consequently, the option to add credit card details will not be available on a saved sales order. However, you can add a new payment record for that customer to apply a deposit amount to the sales order. When a deposit is linked to a payment, the deposit amount may not be edited from within the sales order.

 

To add a deposit to a new sales order:

 

  1.  Create the sales order as you normally would, noting the following about the Deposit area: 
    1. Enter either the Deposit amount or Deposit %. When you enter a value in one field, SOS will automatically calculate the value of the other.
    2. Under the Deposit amount, you will see one of two actions.
      1. A link titled Enter card info. Enter the credit card information for the payment. Refer to Using SOS Pay payment methods for assistance, if needed.
      2. The customer's stored card information (such as Using Visa ending in 1234 expiring 12/2025). If the displayed card information is what the customer wants to use, you are good to go.  
      3. If the credit card the customer wants to use is different from what is on file, you must remove the existing account information from the customer definition first. Then enter the new credit card information on the sales order. 
         
  2. Upon saving the sales order, SOS Inventory will:
    1. Add the sales order to the Sales orders list.
    2. Generate a payment transaction and add it to the Payments list.
    3. Add the record of that transaction to the SOS Pay list.
    4. Process a credit card transaction via Payments Dashboard.

 

A payment transaction for a sales order will be reflected in QuickBooks Online as a journal entry that debits the default deposit asset account and credits the default deposit liability account, as configured in the General sales settings (Tools & settings > ConfigurationSales > General).
