V9 - Adding and editing jobs


 

To add a job:

 

  1. Select your method for creating the job.
    1. Use either of the following direct methods, which require manual entry of all data fields:
      1. The Quick add (add_circle) menu. On the Task bar, go to Quick add > Production > Job.
      2. The Jobs list. Go to Operations > Production > Jobs, then select +Add.
    2. Generate the job transaction from a sales order or sales receipt.
      1. Go to Operations > Sales, then select either Sales orders or Sales receipts.
      2. Locate the appropriate parent transaction record, then select Create job from the record's Actions dropdown.
      3. SOS Inventory will automatically import all relevant information from the parent transaction into the job.
         
  2. Enter or edit the information in the job fields, noting the following:
    1. Name.
      1. If creating the job directly, enter a desired job name.
      2. If generated from a sales order or sales receipt, the job will inherit the parent record's transaction reference number as the job name.
    2. Job number.
      1. Regardless of the method used for creating the job, if you have enabled the Job numbering setting (Tools & settings > Production > Jobs > Job numbering), leave this field blank. The system will assign a reference number when the transaction is saved.
      2. If your company has not enabled Job numbering, or you wish to use a different job transaction number instead of the system-assigned one, manually enter a reference number.
    3. Description. If generated from a sales order or sales receipt, the system will automatically populate this field with the text, Job for [sales order or sales receipt] [transaction number].
    4. Customer.
      1. If the job is not tied to a specific customer, leave this field blank.
      2. If generated from a sales order or sales receipt, the job will inherit the parent transaction’s customer.
    5. Job address. If generated from a sales order or sales receipt, the job will inherit the shipping address specified on the parent transaction.
    6. Stages. The Stages table includes all work centers created by your organization.

      1. Use the deleteicon to remove from the table all stages that you do not need for this job. Keeping only the stages needed for this job makes it easier to link items on transactions for stage cost accounting.
      2. Use the Multitool's Move column to reorder the stages in the Sequence column, if needed.
      3. Use the Restore stages button to return all work centers to their default sequence.
         
      warningIMPORTANT: In the Job column's dropdown list for transaction line items—as well as in the To job and From job columns of build and process transactions—each stage is preceded by its job name. Assume, for example, that the job name is SO2026, and the stage to which you want to assign the build output item Computer-aided design is a work center called CAD. The build's To Job column dropdown listing will be displayed as SO2026->CAD.
  3. When the job is saved, SOS Inventory will add the transaction to the Jobs list. Job transactions do not sync to QuickBooks Online.

 

Editing an existing job

An existing job can be opened for viewing or editing by selecting its transaction reference number link in the Ref # column. Be sure to save any changes you make.
