V9 - Backorder report

Use case

The Backorder report (Operations > Reports > Fulfillment > Backorder report) lists data on backordered (unshipped) sales orders and sales receipts.

While the basics for running any report in SOS Inventory are covered in Reporting introduction and Running a report, the filters, options, and columns specific to the Backorder report are explained below.

Filters

From date and To date.

Location. Select All or an individual location. All is the default.

Item name contains. Type all or part of an item name to display matching items.

Customer. Choose the desired customer from the dropdown.

Order type. Select the sales transaction type to include in the report. Options include All, Sales order, or Sales receipts. The default is Sales orders.

Options

Highlight past due dates. Orders that are past due are highlighted in light red. For the report to show an item as past due: (1) a date must be selected in the Due Date field for that line item on the sales order or sales receipt; and (2) the Due Date column must be added to the columns displayed on the Backorder report.

Show "from" and "to" dates. If checked, shows a date range at the top of the report, based on your From date and To date filters. The date range appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the header will appear only if you print your spreadsheet. If a header is also entered for the report, the date range will be displayed below the header.

Group by. A set of options that allows you to group data on the report. The options include: None, Customer, Item, or Location. The default is None, which orders transactions by date, from oldest to newest. If your Group by option is set to Customer, Item, or Location, the report shows the name of each customer/item/location as a subheading, followed by all backordered transactions. The transactions are also organized by date, from oldest to newest, followed by the Total line for the customer, item, or location.

Header. Enter header text for the report, if desired. The header appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the header will appear only if you print your spreadsheet.

Footer. Enter footer text for the report, if desired. The footer appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the footer will appear only if you print your spreadsheet and will show above the system-generated text, Report Generated [date] [timestamp].

Columns

The default columns for the Backorder report are Order #, Order Date, Txn Type, Customer, Item, Description, Ordered, Shipped, and Open Amt. Fifteen additional SOS columns are available, as well as any custom fields you have created for sales orders and sales receipts.

If you want SOS Inventory to highlight past due items, remember to add Due Date to the list of columns displayed in the report.

Sample Backorder report

The screenshot below of a sample Backorder report with a date range of July 1-13, 2026, and the Order Type set to Sales orders. The option Highlight past due dates has been selected. In addition to the default columns, Due Date is displayed so that orders past due will be highlighted. The values in the Open Amt column are shown in this example in the home currency of dollars.

Transaction reference numbers in the Order # column are clickable links that go to the transaction record on its list. Most columns can be sorted by clicking on the column header.

Notes

The Backorder report shows all sales line by line. You may not see all the lines for a particular sale on the report, as only the items that are backordered will be displayed.

edit_noteNOTE: If you have a lot of data in an area (such as items), the system will show a pop-up message telling you that you have too much data if you attempt to retrieve your report via the Display or Download options. The system will recommend that you be more specific about the data you need to pull—or that you choose Email to retrieve the report. The Email option allows you to continue working while the report runs in the background.
