V9 - Bulk editing customers


 

To bulk edit customers:

 

  1. Go to Tools & settingsExport data > Sales.
     
  2. Under the Sales section, select Customers.
     
  3. On the export page:
    1. Go to the Columns section and select Add all columns required for import. (Ignore the Filters and Options sections).
    2. Under Retrieve your report, select Email or Download as the method of delivery for the exported data. In either case, a pop-up window will open.
       
      edit_noteNOTE: If you know that you have a large amount of data to process, use the Email option. The resulting file will be sent to you after it is generated.
      1. Email. Sends the exported file as an attachment to the email address(es) you specify. The report file type options are Excel (.xlsx)Legacy Excel (.xls), and Comma-separated values (.csv).  Multiple email addresses must be separated by a comma.
      2. Download. Choose the desired report file type—Excel (.xlsx)Legacy Excel (.xls), or Comma-separated values (.csv).
         
  4. Make a backup copy of the exported data file before editing.
     
  5. If opening the spreadsheet in Excel and the exported format was also in Excel, you must unprotect the sheet (located on the Review ribbon).
     
  6. Add/edit your data on the spreadsheet, referring to Customer column descriptions for bulk edits. Please note the following important instructions: 
    1. Do not change any column headings. 
    2. Do not change the CustomerId for existing customers, and leave this column blank when adding new customers.
    3. For the TaxExemptReasonId field:
      1. If you use QuickBooks Online's automated sales tax and entered FALSE in the SOS Inventory spreadsheet's Taxable field (indicating that the customer is tax-exempt), you must enter a number code in the TaxExemptReasonId field, as shown in the chart below.
        1. Enter the ID number only in the TaxExemptReasonId field. Do not enter the Reason description. If this field is left blank, SOS Inventory will assign a TaxExemptReasonId of 99 (Other) through March 31, 2026. After that date, your customer import will fail.

    4. If you do not use QuickBooks' automated sales tax feature, you can skip the TaxExemptReasonId column. SOS Inventory will ignore TaxExemptReasonId entries if your company does not use QuickBooks Online's automated sales tax feature.
  1. Import your data.
    1. Go to Tools & settings > Import data.
    2. Under the Importing dropdown, choose Customers.
    3. Drag and drop your Excel or CSV document in the File field, or use the File selector button to choose the file you wish to import.
    4. Select Preview. SOS will display the first 10 lines of data, so that you can ensure the correct file of data is being uploaded.
    5. If the Preview looks correct, select Import.

 

SOS Inventory will send a notification indicating whether the import was successful.
