V9 - Bulk editing sales orders
Existing sales orders cannot be edited via the bulk edit process. However, new sales orders can be imported to SOS Inventory using a bulk edit.
The processing of importing sales orders is very fast. If you are using AOP rules for sales orders, please note that AOP rules activate automatically when the transactions are uploaded into your system. If an AOP rule includes emailing a contact, this will slow down the process considerably, so patience is required. If you prefer to not have AOP rules activate during import, go to the AOP rules list (Tools & settings > Configuration > Lists > AOP rules) and disable appropriate rules for sales orders. (Do not forget to re-enable these after import is complete.)
Imports of sales orders are commonly used for moving sales orders from QuickBooks Desktop or Enterprise to SOS, or to upload orders coming through the EDI process.
Steps for adding and importing new sales orders via a bulk edit
- Go to Tools & settings > Export data.
- Open the Sales section and select Sales orders.
- On the export page:
- Go to the Columns section and select Add all columns required for import. (Ignore the Transaction date, Filters, and Options sections).
- Under Retrieve your report, select Email or Download as the method of delivery for the exported data. In either case, a pop-up window will open.
- Email. Sends the exported file as an attachment to the email address(es) you specify. The report file type options are Excel (.xlsx), Legacy Excel (.xls), and Comma-separated values (.csv). Multiple email addresses must be separated by a comma.
- Download. Choose the desired report file type—Excel (.xlsx), Legacy Excel (.xls), or Comma-separated values (.csv).
- If opening the spreadsheet in Excel and the exported format was also in Excel, you must unprotect the sheet prior to editing (located on the Review ribbon).
- Add your data to the spreadsheet. Do not change any column headings. Refer to EDI and sales order import mandatory fields for a list of data that is required for import.
edit_noteNOTE: If a customer on a sales order bulk edit is not currently in the system--or is incorrectly entered on the spreadsheet, SOS Inventory will create a new customer and add it to the Customers list when the Excel or CSV file is imported. The same principle applies to items.
infoTIP: If you have enabled the Multicurrency feature and leave the Exchange rate field blank on sales orders, SOS Inventory will automatically populate upon import the stored exchange rate for the date of the transaction.
- Import your data.
- Go to Tools & settings > Import data.
- Under the Importing dropdown, choose Sales orders.
- Drag and drop your Excel or CSV document in the File field, or use the File selector button to choose the file you wish to import.
- Select Preview. SOS will display the first 10 lines of data, so that you can ensure the correct file of data is being uploaded.
- If the Preview looks correct, select Import.
SOS Inventory will send a notification indicating whether the import was successful.
