V9 - Common icons in SOS Inventory

In addition to the icons on the Task bar, Operations menu, and Edit page navigation bar, SOS Inventory has a few other icons that you can expect to see in the application.

Available column "Eye" icon

The Available column on a sales transaction shows the quantity of an item that is available for sale. On new transactions, the cell will display a number when an item is selected. But if the transaction is reopened after it has been saved, on some transaction types a visibility icon will appear instead. To enhance system performance, SOS does not automatically load the available item quantities on a saved transaction—but if the icon is clicked for a specific line item, its available quantity will be displayed.

Clipboard

After a sales order or sales receipt has been saved, the system adds to the transaction a Status URL link and next to it, the assignment (clipboard) icon.

  • This Status URL link connects to your company's Orderfacts web page (customer portal) for that sales transaction.
  • The  assignment icon copies the web page's URL to the clipboard and allows you to paste that URL into your browser or another document.

Discount/tax toggle

The Tax/discount toggle. The swap_vertical_circle toggle is found on sales transactions (estimates, sales orders, sales receipts, and invoices). By default, the box for the Discount taxable setting (Tools & settings > Configuration > Sales > General) is unchecked, and SOS Inventory applies the discount before the tax. Regardless of the Discount taxable setting's status (enabled or disabled), the toggle allows you to reverse it on an individual transaction.

Help (Tooltip)

Apart from the features listed on the Help menu, the software embeds help on many pages within the system. Clicking the help (question mark) icon will open a tooltip (enclosed in a gray box), as shown in the screenshot on the left. Tooltips are most commonly found next to data fields.

Multitool

The Multitool

The Multitool is a convenient, multifunctional feature found on transaction line items and some tables used in SOS Inventory. But it is always located in the far left column of the line item or table in which it appears. (To see a screenshot of a transaction line-item table that includes the Multitool, go to Clear lines and add lines section below.)

arrow_forwardInsert. When the arrow in the top left corner of the icon is selected, SOS Inventory inserts a blank line above the current line item.

drag_indicatorMove. By clicking, holding, and dragging the six-dotted "domino" in the center of the icon, you can move and reorder line items.

arrow_drop_down_circle Copy.  Select the encircled triangle to copy one line item to the line immediately below it.

infoTIP: If another line item is directly below the one you intend to copy, use the Insert tool to add a blank line before copying. This keeps the existing line item that is below from being overwritten.

All three tools are usually available wherever the Multitool is displayed, but some exceptions do exist. One such example is the Stages table on a jobs form, which displays only the Move tool.

Notifications list Add task icon

The playlist_add icon on the Notifications list opens a Task pop-up window. This allows you to create a task for yourself or to assign one to someone else without navigating to the Tasks list (User > Tasks). Once the task is saved, the system adds the task to the Tasks list, as well as to the Calendar (Operations > Calendar) on the task's specified due date.

Selecting the Add Task icon opens a Task edit page in a pop-up window.

Pencil icon

The pencil (edit) icon is used when you want to edit data on transactions.

Editing address blocks

In transaction address blocks, the edit icon is a toggle that expands the block for editing or collapses it to conserve space. Addresses are collapsed by default. When the block is expanded, the pencil is blue. When the block is collapsed, the pencil is gray, as shown in the screenshot below.

The pencil icon is used in address blocks on transactions to open them for editing and collapse them to conserve space.

Transaction edit mode

The edit icon appears in the line item rows of saved transactions that have been reopened—but only if the Transaction edit mode slider setting (Tools & settings > Configuration > Company > General) is Row by row. This setting enhances system performance if you have many line items (300 or more) in a transaction.

When its pencil icon is blue, a line item is in a "read-only" state and cannot be edited until the icon is clicked. Once clicked, the icon is grayed out, and editing is enabled for that row. The pencil icon in the line item area is not a toggle. If you select the Edit page navigation bar's Save and keep editing option (located under the More button), the rows you enabled for editing will remain editable while you are working in the transaction. Once the transaction is closed, the system resets, returning to read-only status.

The pencil icon is used for line items to make edits one row at a time.

Clear lines and add lines

Remove and Add lines icons on a table in SOS Inventory.

Transaction forms and other pages that have some type of table or line-item area have icons that allow you to delete or add lines:

  • Clear lines icons. Adeleteicon in the column header of a table or line-item area clears the content of all line-items in a table, but does not remove the lines themselves. By contrast, adeleteicon in a line-item row removes both a line and its contents.

edit_noteNOTE: The clear lines icons do not delete an item from the system.
  • Add icon. A add_circle icon adds additional lines to the table. The number of lines added depends on your company's Default lines setting (Tools & settings > Configuration > Company > General).

Serial bulleted list icon

On transactions using serial numbers, the S/N field includes a format_list_bulleted icon that opens a pop-up window, in which you can add serial numbers for an item.

The S/N field on an item receipt has a bulleted list icon, which opens a pop-up window that allows you to enter serial number manually, scan them with a barcode scanner, or upload a CSV file.
