The Lot stock status report (Operations > Reports > Inventory > Lot stock status) shows the locations where quantities of the same lot are in stock.
While the basics for running any report in SOS Inventory are covered in Reporting introduction and Running a report, the filters, options, and columns specific to the Lot stock status report are explained below.
As of date.
Location. Totals only, the default, displays only the total quantity and total value for all lot items in the report, regardless of location. If All is selected, the quantities and value for all lot items will be shown in a grid by location. Multiple individual locations can also be selected.
Category. Select All or individual categories. All is the default. Multiple categories can be selected.
Item. Choose the lot-tracked item from the dropdown. If no item is selected, the report will include all lot-tracked items by default.
Lot number contains. Enter all or part of a lot number to display matching items.
Status. Select the appropriate lot status option for your needs: "All," "Not expired, not recalled," "Expired," or "Recalled."
Hide rows with all zeros. If you have lots with no quantities and no value, check this option to prevent them from being displayed in the report.
Show "as of" date. If checked, shows the date at the top of the report, based on your As of date filter. The date appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the As of date will appear only if you print your spreadsheet. If a header is also entered for the report, the date will be displayed below the header.
Group by. A set of options that allows you to group data on the report. The options include None or Item. The default is None, which displays lots in lot number order. If your Group by option is set to Item, the report shows an item, followed by all lots for that item, and finally, a Total line for that item.
Report value. Allows you to select how you want report values to display. Options are On hand and Available.
Header. Enter header text for the report, if desired. The header appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the header will appear only if you print your spreadsheet.
Footer. Enter footer text for the report, if desired. The footer appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the footer will appear only if you print your spreadsheet and will show above the system-generated text, Report Generated [date] [timestamp].
The default columns for the Inventory stock status report are Lot and Item. Five additional SOS column options are available, as well as any custom fields you have defined for items.
The purpose of the sample Lot stock status report below is to locate any expired on-hand quantities for the lot-tracked item, Lemons (Lot Tracked), that may be present at specific locations (Main Warehouse, NYC Branch, and Atlanta).
The filters are set for the default As of date (the current date); for Location, Main Warehouse, NYC Branch, and Atlanta; for Item, Lemons (Lot Tracked); and for Status, Expired. As for options, Hide rows with all zeros is enabled, the Group by option is left at None, and the Report value is On hand. In addition to the default columns (Lot and Item), SKU, Recalled status, and Expiration date have been included.
The report shows that 7 expired lemons are on hand at Main Warehouse: a quantity of 1 for lot 123456, and a quantity of 6 for lot DAL000123.
Selecting a lot number takes you to its record on the Lots list.
