V9 - Master sales report

Use case

The Master sales report (Operations > Reports > Sales > Master sales report) is an extremely versatile tool that is widely utilized by SOS users for sales reporting. This report gives you details for every line item on sales transactions during the reporting period you specify.

While the basics for running any report in SOS Inventory are covered in Reporting introduction and Running a report, the filters, options, and columns specific to the Master sales report are explained below.

Filters

From date and To date.

Order type. Select the sales transaction types to include in the report. Options are Estimates, Invoices, Sales orders, Sales receipts, and Returns. The default is Sales orders. More than one Order type can be selected. Invoices and Sales receipts are the order types relevant to revenue.

Location. Select All or individual locations. All is the default. Multiple individual locations can be selected.

Customer. Choose the desired customer from the dropdown.

Item. Choose the desired item from the dropdown.

Vendor. Choose the desired vendor from the dropdown.

Category. Select All or individual categories. All is the default. Multiple individual categories can be selected. To use this filter, categories must be defined in SOS Inventory.

Channel. Choose the desired sales channel from the dropdown. To use this filter, channels must be defined in SOS Inventory.

Class. Choose the desired class from the dropdown. To use this filter, classes must be defined in SOS Inventory.

Customer type. Choose the desired customer type from the dropdown. To use this filter, customer types must be defined in SOS Inventory.

Department. Choose the desired department from the dropdown. To use this filter, departments must be defined in SOS Inventory.

Sales rep. Select All or an individual sales rep. All is the default. To use this filter, sales reps must be defined in SOS Inventory.

Item name contains. Type all or part of an item name to display matching items.

Keyword search. Enter a keyword to search Comment and Customer message fields on sales transactions.

Options

Show "from" and "to" dates. If checked, shows a date range at the top of the report, based on your From date and To date filters. The date range appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the header will appear only if you print your spreadsheet. If a header is also entered for the report, the date range will be displayed below the header.

Open/closed. Displays the status of transactions, based on your Order type filter selection(s). Options are All, Open, and Closed. All is the default. Open transactions still have items pending shipment, while closed transactions have been fulfilled.

Group by. A set of options that allows you to group data on the report. The options include: None, Category, Channel, Class, Customer, Department, Item, Location, Sales rep, or Vendor. The default is None, which orders transactions by date, from oldest to newest.

edit_noteNOTE: If your Group by option is set to Location, and your Order type filter includes Estimates or Invoices, your Location filter must be set to All. This is due to the fact that estimates and invoices are not tied to locations, and no Location field is present on their Edit pages. On the report, estimates and invoices will be included in the first grouping displayed, under the heading <no location>.

In addition, some Group by options—Category, Channel, Class, Department, Sales rep, and (preferred) Vendor—may not have been included on a transaction. Those transactions will appear at the top of the report, under a heading such as <no category>—if Category was the Group by option.

Header. Enter header text for the report, if desired. The header appears when Display is selected under Retrieve your report.  If the report is retrieved by Email or Download, the header will appear only if you print your spreadsheet.

Footer. Enter footer text for the report, if desired. The footer appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the footer will appear only if you print your spreadsheet and will show above the system-generated text, Report Generated [date] [timestamp].

Columns

The default columns for the Master sales report are Order #, Order Date, Txn Type, Customer, Item, Description, and Ordered. Up to 30 additional SOS columns are available (depending on your subscription plan), as well as any custom fields you have created for sales transactions.

Please note that in SOS Inventory, Backordered refers to any items on sales transactions that have not been shipped.

Sample Master sales report

The screenshot below is an example of how the Master sales report could be used to determine a net margin and net margin percentage, by customer, across all locations for the month of December 2025.

For this sample Master sales report, the Quick date selectors of Start of last month and End of last month reflect my desired date range of 12/1/2025 to 12/31/2025. Other filters include a Location set to All, and an Order type that includes Invoices and Sales receipts. The Group by option has been set to Customer. In addition to the default columns, COGS, Total Amt, and Profit have been selected.

The steps for calculating the net margin percentage are as follows:

  1. SOS Inventory calculates the total revenue (Total Amt), using this formula: Quantity Ordered x Unit Price
  2. SOS Inventory calculates the net margin (the value in the Profit column): Total Amt - COGS
  3. Email or download the report, then use your spreadsheet software to calculate the net margin percentage: (Profit ÷ Total Amt) x 100

The net margin percentage for two customers, Al Latimer and Andy Mill, is calculated as follows:
