V9 - MerchantTrack portal


 

The SOS Pay MerchantTrack portal is accessible from within SOS Inventory. In addition to processing credit card and ACH payments, you can search MerchantTrack for information on specific transactions, as well as run reports.

 

Accessing the MerchantTrack portal

Required user privileges for SOS Pay MerchantTrack

Access to the MerchantTrack portal is restricted to SOS Inventory users who have been granted access privileges by a company administrator. To grant access, go to Company > Users. On the Users list, select +Add for a new user, or locate an existing user record and click the user's name to open their record's Edit page. Under the Sales section, check the Process CC or ACH box. If the user needs the ability to view the Payments list, go to the QuickBooks section and enable View payments received also.  Save and close when finished.

 

Navigating to the MerchantTrack portal

To access the MerchantTrack portal:

  1. Go to the Payments list (Operations > Sales > Payments), then select the SOS Pay link in the upper right-hand corner of the list, directly below the Task bar:

  2. On the SOS Pay list, select the Go to MerchantTrack link, which is also in the upper right-hand corner:

The MerchantTrack portal has three default menus, as well as an additional menu that can be enabled by Support upon request:

 

  • Dashboard
  • Transaction search
  • *Virtual terminal (displays only if enabled by Support)* 
  • Reports

 

The next subsections explain what each menu includes.

 

MerchantTrack dashboard

MerchantTrack Dashboard


The Dashboard serves as the home landing page for the MerchantTrack portal. The page summarizes several pieces of information, including total transaction count, volume, etc. Choosing to view the report of recent funding activity will run the Funding summary report, while selecting to view the report for recent transactions will run the Transaction report. Both reports cover data for the past six days.

To conduct a transaction search:

  1. Choose the merchant/location, if assigned more than one.
  2. To narrow the criteria, fill in any other field and click Search. (If no search criteria are selected except the merchant/location, the system will pull every transaction that has ever been processed.)
  3. The search results page includes information on the status of transactions (Batched, Voided, or Refunded), cardholder information, and the approval or reason for decline. To view the details of a specific transaction, click the blue transaction ID.

  1. The Transaction details page includes details about the transaction, its processing, and reconciliation. A printable transaction receipt with a customer signature line can be obtained by selecting the Receipt link.

MerchantTrack virtual terminal

MerchantTrack's virtual terminal allows you to process credit card transactions for your international customers, as well as to issue partial refunds of ACH payments. The terminal is activated by SOS Support only upon request.

 

When the virtual terminal is enabled, it displays in the left menu, as shown below. The terminal page includes fields for the Merchant name, the Invoice Number and Customer ID, and Subtotal, Tax, and Tip amounts.

MerchantTrack reports

MerchantTrack allows you to run reports on funding, transactions, chargebacks, merchant statements, and ACH returns. The reports may be exported to CSV and/or PDF for viewing and most reports are sortable. The number of total rows viewed per page can be set from 15 to 100.

 

The Reports page lists each report type that is available, along with an explanation of the capabilities for each.
