V9 - Rental and rental return field descriptions


 

If you have defined any custom fields for rentals and rental returns, they will appear after the standard SOS Inventory fields, in the Custom fields section of the transaction. The fields will be of the input format and value that you have defined.

 

Add lines (add_circle). Click the icon to add additional lines to the line item table. The number of lines added is established by the number specified by your company in the Default lines setting (Tools & settings > Configuration > Company > General).

 

Add rental. Adds to a rental return transaction the items from one or more rental transactions that are being returned by the same customer. Choose the desired rental from the dropdown list and then select the Add button.

 

Applied to. On rental returns, shows the rental transaction and line number linked to the same item on a rental transaction.

 

Channel.  Sales channel from which the rental was initiated (such as Web Order).

 

Class. The class for this line item. This column displays if the Class tracking setting (Tools & settings > Configuration > Connections > QuickBooks) is enabled. 

 

Clear lines. Adeleteicon in the column header of a table or line-item area clears the content of all line-items in a table, but not the lines themselves. By contrast, adeleteicon in a single line-item row removes both a line and its contents.

 

Comment. Internal comment about the rental or rental return. The comment is not displayed on the transaction when printed or emailed unless this field is added to the transaction's form template.

 

Customer.  Customer to whom the sales transaction applies. Once a customer is selected, the system imports from the customer definition data for the address blocks, notes, and default terms.

 

Customer address. On rental transactions, the address of the customer renting the items. The billing address is used by default. If the customer has multiple billing addresses, you can use the Address dropdown to select the appropriate one.

 

Customer message. This message to be displayed on the transaction. This field can be expanded to become as large as needed. You can also choose a standardized customer message that your organization has defined in SOS Inventory by selecting the Predefined messages button.

 

Customer notes. Pulled from the customer definition, the customer note is not displayed when the rental or rental return is printed or emailed unless this field is added to the transaction's form template.

 

Date/time. Transaction date with timestamp. Use the Now button to update it to the current date/time. 

 

Department. Lists the department for this transaction for sales reporting.

 

Description. This multifunctional block can contain any of the following:

 

Due date. On rentals, the date that rented items are expected to be returned by the customer.  

 

From location. The location from which a customer is renting items or is returning rented items. On rental returns, the default From location is inherited from the rental transaction.

 

Item. The item being rented or returned. Enter or select the desired item. New items can also be created from within the transaction. If the item is in a bin-tracked location, the Item block will also contain a bin ID field. You will need to select the bin for the item.

 

Job. Job to which this line item belongs. This box is only available if Job Tracking is enabled in SOS Inventory on the Jobs settings page (Tools & settings > Configuration > Production > Jobs).

 

Line. The line-item number of an item on the transaction. The order of an item can be changed using the Multitool.

 

Multitool. A multifunctional icon in the far-left column of a line item. The Multitool is a convenient feature found on transaction line items and some other tables used in SOS Inventory. The Insert tool (arrow_forward), located in the top left corner of the Multitool, inserts a blank line above the current line item. The Move tool moves and reorders line items by clicking, holding, and dragging thedrag_indicatoricon. The Copy tool (arrow_drop_down_circle) duplicates the data in one line item to the line immediately below it.

 

infoTIP: If another line item is directly below the one you intend to copy, use the Insert tool to add a blank line before copying. This protects the existing line item that is below from being overwritten.

 

Quantity. The number of item units being rented or returned.

 

Rental reference #. Reference number used to identify a rental. The system will attempt to number the transaction automatically, depending on your Rental numbering settings (Tools & settings > Configuration > Rentals > Rentals).

 

Rental return reference #. Reference number used to identify a rental return. The system will attempt to number the transaction automatically, depending on your Rental return numbering settings (Tools & settings > Configuration > Rentals > Rental returns).

 

Returned. On a rental transaction, indicates the quantity of a rented item that has been returned.

 

Ship to address. Customer address where the items on rental transactions are located during the rental period. If the customer has multiple Ship to addresses, you can use the Address dropdown to select the appropriate one.

 

Ship method. The carrier used to ship a rental or by which a rental is returned.

 

Signature. An authorized user's name, signed with a stylus or finger in SOS Inventory's iOS app. However, the signature on a saved rental or rental return can be viewed on any device. If the transaction does not have a signature, the transaction will say No signature. If a signature has been obtained for a transaction, the associated list's Signature column will say Yes for that transaction record. 

 

To location. On a rental transaction, the location to which a rental is being rented. On a rental return, the locations to which a rental is being returned. A non-nettable location called Out for Rental is the default To location on rental transactions. However, on rental returns, the initial To location is pulled from the rental transaction.

 

Tracking number. The number assigned by a shipping carrier for items on a rental or rental return.

 

UOM. The unit of measure, if the Units of measure feature is enabled. Available on Plus and Pro plans only.

 

Weight. The weight as defined in the item’s definition.

 

Vol. The volume as defined in the item’s definition.
