Video transcript: Alerts
Hello. This video will focus on the alert system within SOS Inventory.
To get to the Alerts menu, you'll select Tools and settings > Configuration > Lists, and then Alerts. Only administrators can create alerts, and they'll only see the alerts that they've created and no one else's. I've already created some alerts, but let's look at creating a new one to see the different alert options.
You'll select +Add. The settings vary slightly for each alert type. If you have any difficulty, please contact the SOS Support team at support@sosinventory.com, and we will help you quickly set up your alerts. For your alert, you'll give it a Name. In this case, we'll select Low Inventory.
Then on the right-hand side, this is where you'll select your Alert type, and you have other alert options to choose from. You can set up alerts to be notified when bills are due. You can set them up for any custom fields that you've created. You can get alerted for when invoices are past due, for your lot expiration dates, or for when your sales orders and sales receipts are due, or even your tasks. In this case, we're going to select Low inventory.
With the low inventory alert, you can choose to monitor all of your locations if you're using multiple locations, or you can do it for just a single location. You can also choose to monitor a single category or all categories of your items. You can also have the calculation based on your in-stock amount or the amount that is available for sale. And if you want to narrow the list even further, you can monitor items that contain a certain string of characters within the item name.
In this case, we're going to select our In stock number for our Calculation, and I'm going to leave the Item name contains blank.
Then on the left-hand side, I want to ensure that my alert is enabled. And I can also select how often I wish the alert to repeat. In this case, I'll select Never. And then I can select how often I wish the system to check for this condition. And I want it to check for it on an hourly basis.
And down below, we have our Alert method. There are different methods to receive the alert. You can have the system notify a single user within the user interface by selecting Notify a user, and then selecting the user. They'll see a number badge appear within their notifications. You can also have the system send an email, or you can have it set to send text messages. And be sure to enter in the Mobile carrier and the phone Number. In this case, I'm going to have it notify a user set to Monica, and then I'll select Save and close.
Now, to test the alert that we've just created, I'm going to click in the Actions drop-down menu of that alert and select Test now. Then I'm going to refresh my page, and there we'll see that we received another notification. I'm going to Exit configuration, go to my Notifications. I'll select see all, and here's the notification for low inventory. I received a notification of all of my items that are ready for reorder.
