VIDEO TUTORIAL
V9 - Attaching documents and files
Video transcript: Video title
When a record is created, this page will open up in a new pop-up window. The Attach paperclip icon allows you to attach one or more documents to a data record.
When creating a new record, the paperclip icon will be grayed out, and the ability to attach documents is only available after the record is saved. However, under the More button, using the Save and keep editing option, it will enable the paperclip, allowing you to add attachments if you wish to continue working on this same page.
To attach a document or file to a record, we'll go to an existing sales order because it's already been saved. In this sales order, for example, you'll see now that the Attach paperclip icon is available to select. We'll select the paperclip icon, and then it'll open up a Documents window box. From here, you can use the search bar to locate a file already in the system and attach it to this record--or you can click into the box to select Add a new document.
By selecting Add a new document, you can add in a description of the document, and this Share box is checked by default, making the file accessible to other users. If you do not want other users to access this file, make sure to uncheck this box. Additionally, if the share setting of the attached file needs to be changed after the record has been saved, an administrator must make the change through the Documents and files list that is found within Configuration mode.
To attach a file or a document, you can drag and drop the file, or you can use the file selector to browse your files. Add in a file through drag and drop, then you'll select Add document. Then it'll bring you to the next page, where you'll see a list of documents associated with the record.
From this documents list, you may also unlink an attachment associated with this record by using the X button. However, the file will remain in the Documents and files list unless it is deleted from that list by an administrator.
Once the file has been attached, and we close this window, there will be a red number badge showing the number of attachments to this record. Additionally, anytime a file or a document is attached to a record, it will also be added to the Documents and files list, which is found within Configuration mode.
