V9 - Tracking serial inventory


 

 

Video transcript: Tracking serial inventory

This video will focus on tracking serial inventory and SOS Inventory.

 

We'll begin by creating a serialized item. Then we will learn to receive and sell our serialized inventory.

 

To create a new item, let's go to add new transaction up here on the Taskbar and select Item. Then you will enter the name of your item. Then make sure that you have turned on Track serial numbers. Then complete the rest of the definition. Ensure that you at least have the essential fields, which are the item Type, the accounts to ensure that those are correct. If you're selling the item, you will put a Sales price. Of course, your Purchase cost as well. And then last but not least, make sure to mark if you would like this item to Sync with QuickBooks. Then complete any other fields that you would like to find. And Save and Close your definition.

 

Now that we have the item in existence, let's bring some into inventory. To do this, we're going to create an item receipt. You can create your item receipt from the add new transaction. If you look under purchasing, here's the item receipt here. Or you can also add a new item receipt from the purchasing area by going to item receipts. Click on +Add from the item receipt list. But if you're using a purchase order, you are going to want to go to the Actions menu beside the purchase order, and then select receive right there. And that will create an item receipt.

 

For this activity, I'm going to create my item receipt from the add new transaction. And here, I would select my vendor. Then I would put in my items. So here is my serialized item that we just created. And I'm going to say that I'm receiving a quantity of two.

 

Now in my serial numbers, I need to add those here so I can click on the list icon. And I could click in here and scan the numbers. I could also type the number in here. Click Add, and then I could type in the next one. The other thing I could've done is, I could've uploaded a CSV. Either way, from here, I would select Done. Now, complete the rest of your item receipt, and then Save and close the item receipt. And this will bring the goods into inventory. We can check that by going to the inventory area and going to the Serial inventory list. And I'm going to do a search for my serialized item, and there are my two serial numbers, ready to be sold.

 

So now let's go through selling serialized inventory. I will be using the standard workflow of sales order to shipment to invoice.

 

So I'm going to begin under the Sales area of the Operations menu and go to Sales orders to add my new sales order. I'll select my customer here. Then come in and add my serialized inventory items. And I'm going to sell him both of those, complete the rest of the sales order, and then, of course, save it. Now, note that on my sales order, I did not add the serial numbers because at this point, we've not yet touched inventory.

 

Now it's time to ship the goods. So I'll come to my sales order and go to the Actions menu. Come down here to Create shipment. Now that we're on the shipment, notice I have my serial number requested. So what I'll do is click on my list icon, select the serial items that are going to be placed in the shipment. I also could have uploaded via CSV. But once I've got those selected, select done. Then complete the shipment and save.

 

Now, if we go take a look at the shipment transaction, I'm going to do a Quick view here because I want you to see that the output of that shipment is the packing slip, as you can see here. And also note that my serial numbers are on the packing slip, so they will be available to those in the warehouse.

 

Now, if we go back to our Sales order list though, we've shipped the goods out, and now I'm ready to invoice. So I'm going to come back to my Actions menu, select Create invoice. Notice the serial numbers again come into the invoice, and Save and close. And then you can email the invoice out to your customer. But that is tracking your serialized inventory items from creation through the purchasing and sales process.
