V9 - Adding and editing transfers
edit_noteNOTE: This transaction type can be added, edited, or deleted in SOS Inventory only. Although transfer transactions do not sync to QuickBooks Online, any shipping charge resulting from a transfer has the option of being sent to QuickBooks as a bill.
- Use any of the following methods to create a transfer transaction:
- The Quick add menu (add_circle). On the Task bar, go to Quick add > Inventory > Transfer.
- The Transfers list. Go to Operations > Inventory > Transfers, then select +Add.
- Generate a transfer from another transaction. A transfer can be created from a sales order, sales receipt, item receipt, or work order.
- Locate the parent transaction record on its appropriate list.
- Under the parent transaction record's Actions menu dropdown, select Create transfer.
- SOS Inventory will automatically import all relevant information from the parent transaction into the transfer.
- Generate a transfer from the Reorder Report. See Generating transfers from the Reorder report for details on this method.
- Enter or edit the data as needed for the transfer, referring to Transfer transaction field descriptions for help. Note the following as you complete the transaction:
- Transfer reference #.
- If your company has enabled the Transfer numbering setting (Tools & settings > Inventory > Transactions > Transfer numbering), you can leave this field blank. The system will assign (or did assign, if the transaction was generated by the system) a reference number when the transaction is saved.
- If your company has not enabled Transfer numbering, or you want a different number, manually enter a reference number.
- From location and To location.
- Select from their respective dropdowns the location currently storing the items (the From location) and the location where they are being transferred (the To location).
- If you are doing a bin-to-bin transfer within a location, the From location and To location will be the same.
- Select, enter, and/or edit items and their quantities on the transaction as needed to reflect what is being transferred.
- If you added the transfer directly, select an existing item or Add new item in the Items dropdown.
- If adding a new item, a pop-up window will appear with an Item edit page.
- Refer to Defining, adding and editing items and Item field descriptions for information about completing the item definition.
edit_noteNOTE: Please ensure that you give a known starting inventory quantity at the From location so that you can complete the transfer.
- Save and close the Item edit page when finished.
- SOS will return to the transfer and add the new line item.
- Any item entered into the transfer will include all relevant information retrieved from the item definition. Columns displayed are set and may include additional columns (UOM, Class, and Job), based on your settings. You can edit these fields, except where grayed out.
- If any items are bin-, serial-, and/or lot-tracked, designate their bins/serials/lots as needed. An example of a completed transfer transaction with bin and serial tracking is shown in the screenshot below:

- For bins:
- If inventory is being transferred from one bin-tracked location to a different bin-tracked location—or from one bin to another bin within the same location—the system will prompt you to select the From bin (for the originating bin) and To bin fields (for the gaining bin) under the name of the item being transferred.
- If inventory from a bin-tracked location is being transferred to a location that is not bin-tracked, only the From bin field will be displayed.
- If the transfer is from a location that is not bin-tracked to a bin-tracked location, only the To bin field will be displayed.

- For lot items:
- See Using existing lots on transactions if needed.
- If you transferred more than one lot of the same lot-tracked item, enter a separate line item for each lot.
- In the Transfer column, enter the quantity of the item being transferred. Please make sure that you transfer a quantity that is equal to, or less than, the On hand quantity.
- Complete other line item fields as needed.
- Repeat Step 2.c.i.1. through 2.c.i.5. for each line item.
- If you generated the transfer from another transaction:
- Delete from the transfer any line item for which you are not transferring any quantities. Do not enter a quantity of zero.
- If any items are bin-, serial-, and/or lot-tracked, designate their bins/serials/lots. (Refer to Step 2.c.i.3 and its sub-steps if needed.)
- In the Transfer column, enter the quantity of each item being transferred. Please make sure that you transfer a quantity that is equal to, or less than, the On hand quantity.
- Complete other line-item fields as needed.
- Update any other fields needed for the transfer. If you use a vendor to transfer the items and want SOS Inventory to generate a bill from the vendor selected in the Ship method field, be sure to check the Create bill box.
- Save the transfer when finished.
- Upon saving a transfer, SOS Inventory does the following:
- Adds the transfer to the Transfers list. Transfer transactions do not sync to QuickBooks Online.
- If you checked the Create bill box on the transfer, SOS Inventory will generate a bill and add it to the Sync queue to send to QuickBooks.
Editing an existing transfer transaction
An existing transfer transaction can be opened for viewing or editing by selecting its transaction reference number link in the Ref # column. You will need to enable editing line by line to make changes to the transfer if you use Transaction edit mode.
Be sure to save any changes you make.
