V9 - Handling online customer invoice payments


 

The SOS Pay setup process must be completed before customers can make online payments. Once the setup checklist is finished, you can begin emailing invoices with payment links to customers.

 

Emailing invoices with payment links

SOS Inventory adds a Customer payment link to an invoice transaction record at the time it is saved, as shown in the screenshot below. The link connects to a secure payment page where the customer can pay the invoice online. (The icon next to the Customer payment link allows you to copy the URL to which the link directs, but this is not needed for emailing an invoice.)

 

The Customer Payment Link is added to the invoice at the time the transaction is saved. The icon next to the link allows you to copy the payment link's URL, if desired.

 

When you are ready to email an invoice to the customer: 

 

  1. Go to the Invoices list (Operations > Sales > Invoices) and locate the transaction record.
  2. Choose Email from the record's Actions menu dropdown. A pop-up window will appear. Make sure that the body of your email Message field contains the [PaymentLink] merge field code.

    For online payments, include the [PaymentLink] code in the Email message for invoices.
     
  3. In the Template field, leave the default invoice form template or choose an appropriate one for this customer.
  4. Make any desired changes you need, then select Send
     

Paying an invoice online

When the customer clicks an emailed invoice's payment link, an online version of the invoice will appear:

On this page, you will see two buttons that allow you to select your payment method.

The system will notify the customer immediately whether the payment was processed successfully.

 

A sample online invoice is marked "paid" when the payment has been successful.


After your customer has completed their payment, they can get a PDF copy of their paid invoice by using the Download button. The receipt that the customer gets will use the template that your company has designated in the Invoice template field of the Payment settings (Tools & settings > Configuration > Payments > General).
