V9 - SOS Pay setup checklist
Some actions must be executed in SOS Inventory to ready the system for handling payment transactions, as well as for MerchantTrack ACH and credit card processing.
- Grant ACH and credit card processing privileges in SOS Inventory to users who need access to SOS Pay.

Locate the appropriate user and click on their name to open the record for editing. On the User page, go to Payments (under the Sales section) and enable Process CC or ACH. If the user needs the ability to view the Payments list, enable View payments received (under the QuickBooks section) also. Save your changes when done.

- Prepare an invoice template to be used when the customer downloads a copy of the invoice after making an online payment.
- See Form templates for more information on selecting and, if desired, modifying a form template.
- If you are a veteran SOS Inventory user, you may already have an existing template for invoices that you normally use for email attachments. You may use the same invoice template for online payments, if preferred.
- Choose your desired payment settings (Tools & settings > Configuration > Payments > General). The setting descriptions are explained below:

Require zip code verification. Displays only if you have subscribed to SOS Pay for credit card and ACH processing. Enable this option to require the customer's billing ZIP code to match the card issuer's records. This setting will cause a transaction to be declined if the ZIP code does not match.

Require CVV verification. Displays only if you have subscribed to SOS Pay for credit card and ACH processing. Enable this option to require CVV verification for all transactions. This setting will cause the transaction to be declined if the CVV entered by the customer does not match the card issuer's records.

Payments numbering. Allows you to enter a prefix that will be automatically attached before all system-generated payment transaction reference numbers, as well as to set or reset the number used on the next payment transaction. Both fields are optional. You can always enter the transaction number manually when creating or editing a transaction.

Company name. Your company name as you want it to appear to customers making an online payment.

Invoice template. The template used to generate the PDF of an invoice when it is downloaded by a customer making an online payment.

Default cc for payments. If an email address is entered, the recipient will be copied automatically on all emailed payment transactions.

- Specify the default deposit asset and deposit liability accounts to which the system will designate payments.
- The accounts must be created in QuickBooks and then synced to SOS Inventory.
- In SOS Inventory, go to the general Sales settings (Tools & settings > Configuration > Sales > General). From the Default deposit asset account and Default deposit liability account dropdown lists, select the appropriate account for each, then Save.
- Set up payment methods, either in SOS Inventory or in QuickBooks Online, for all that your company will accept. The two MerchantTrack payment methods, SOS Pay – ACH and SOS Pay – credit card, are automatically included as payment methods if SOS Pay is enabled.
- If you want your customers to have the option of paying their invoices online, include in the Invoice message setting (Tools & settings > Configuration > Sales > Invoices) the code [PaymentLink] in the body of your email message.
- The system adds a Customer payment link field to each invoice transaction when it is saved, as shown below. The link connects to a secure payment page where the customer can pay the invoice online.
- The payment link is included as part of the body of an email message when the invoice record's Email action is used to send a PDF of the invoice to a customer. SOS Inventory will automatically pull the payment link into the body of the email when the invoice is sent to the customer.

- Add custom fields for payment transactions (only if desired and within the number permitted for your SOS Inventory subscription plan).
SOS Inventory users with SOS Pay privileges have full access to all features in MerchantTrack. No additional MerchantTrack setup is needed.
