V9 - Inventory stock status report

Use case

The Inventory stock status report (Operations > Reports > Inventory > Inventory stock status) shows a list of items and their on-hand quantities.

While the basics for running any report in SOS Inventory are covered in Reporting introduction and Running a report, the filters, options, and columns specific to the Inventory stock status report are explained below.

Filters

As of date.

Locations. Totals only, the default, displays only the total quantities for all items in the report, regardless of location. If All is selected, the quantities for all items at each location will be in a grid by location. Multiple individual locations can also be selected.

Categories. Select All or individual categories. All is the default. Multiple categories can be selected. To use this filter, categories must be defined in SOS Inventory.

Vendor. Select one from the dropdown. The vendors listed are the preferred vendors from item definitions.

Item name contains. Type all or part of an item name to display matching items.

Options

Hide rows with all zeros. If you have items with no quantities and no value, check this option to prevent them from being displayed in the report.

Include archived items. SOS Inventory does not include archived items in reports by default. Check this option if you want archived items to be included when you run the report.

Highlight reorders. Highlights in light red an item's quantity at a particular location that needs reordering. If available, the reorder point from the item's Location settings is used. If Location settings are unavailable, the item definition reorder point will be used. The Total quantity will be highlighted if it is at or below the reorder point in the item's definition. It is possible to have an item quantity highlighted for a location but the Total quantity is not.

Show "as of" date. If checked, shows the at the top of the report, based on your As of date filter. The date appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the As of date will appear only if you print your spreadsheet. If a header is also entered for the report, the date will be displayed below the header.

Group by. A set of options that allows you to group data on the report. The options include None, Category, or Vendor. The default is None, which displays items in alphabetical order. If your Group by option is set to Category, any item that has not been assigned to a category will be included in the first grouping displayed on the report, under the heading <no category>. The same principle applies when the Group by option is set to Vendor. Items with no preferred vendor defined will be listed first on the report, under the heading <no vendor>.

Report value. Allows you to select which quantity types you want the report to display. Options are On hand, Available, On SO, On SR, On PO, On RMA, On WO, On rental.

Header. Enter header text for the report, if desired. The header appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the header will appear only if you print your spreadsheet.

Footer. Enter footer text for the report, if desired. The footer appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the footer will appear only if you print your spreadsheet and will display above the system-generated text, Report Generated [date] [timestamp].

Columns

The default columns for the Inventory stock status report are Name and Description. A name links to the item record on the Items list.

Fifteen additional SOS column options are available, as well as any custom fields you have defined for items.

Sample Inventory stock status report

The sample Inventory stock status report below shows at five locations the on-hand value of items with Anderson Supply Co as the preferred vendor. The option Highlight reorders has been enabled.

The quantities in the Reorder Point and Max Stock levels reflect the values entered in the item definition. The Total quantity for Motor (Extruder level 2 sub-assembly, bin-tracked) is highlighted because the value in the Total column falls below the reorder point in the item definition.

Because Location settings were used to establish separate reorder points and max stock levels at the five locations listed in the report, an individual location may have a higher or lower reorder point and max stock level than what is listed in the item definition. That is why, for example, the Houston, TX, location has a red highlight for the item, Decor:Candle wall sconces. Houston's reorder point for the sconces is higher than what is listed in the item definition.
