V9 - Overstock/understock report

Use case

The Overstock/understock report (Operations > Reports > Inventory > Overstock/understock report) displays inventory items that are below the reorder points and/or exceed the max stock levels of their item definitions.

While the basics for running any report in SOS Inventory are covered in Reporting introduction and Running a report, the filters, options, and columns specific to the Overstock/understock report are explained below.

Filters

As of date.

Locations. Totals only, the default, displays only the total quantity for each item in the report, across all locations. If All or individual locations are selected, the quantities for all items at each location will be shown in a grid by location. Multiple individual locations can also be selected.

Categories. Select All or individual categories. All is the default. Multiple individual categories can be selected. To use this filter, categories must be defined in SOS Inventory.

Vendor. Choose the desired preferred vendor from the dropdown.

Item name contains. Type all or part of an item name to display matching items.

Options

Show "as of" date. If checked, shows the at the top of the report, based on your As of date filter. The date appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the As of date will appear only if you print your spreadsheet. If a header is also entered for the report, the date will be displayed below the header.

Overstock/understock. Select one of the following options from the dropdown: Show both overstock and understock, Show overstock only, or Show understock only.

Group by. A set of options that allows you to group data on the report. The options include None, Category, or Vendor. The default is None, which displays items in alphabetical order. If your Group by option is set to Category, any item that has not been assigned to a category will be included in the first grouping displayed on the report, under the heading <no category>. The same principle applies when the Group by option is set to Vendor. Items with no preferred vendor defined will be listed first on the report, under the heading <no vendor>.

Report value. Allows you to select which quantity types you want the report to display. Options are On hand, Available, On SO, On SR, On PO, On RMA, On WO, On rental.

Header. Enter header text for the report, if desired. The header appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the header will appear only if you print your spreadsheet.

Footer. Enter footer text for the report, if desired. The footer appears when Display is selected under Retrieve your report. If the report is retrieved by Email or Download, the footer will appear only if you print your spreadsheet and will show above the system-generated text, Report Generated [date] [timestamp].

Columns

The default columns for the Overstock/understock report are Name, Description, Reorder Point, and Max Stock. Thirteen additional SOS columns are available, as well as any custom fields you have created for items.

Selecting the Name of an item goes to the data record on its transaction list.

Sample Overstock/understock report

The sample Overstock/understock report below is for August 21, 2026, and has the Overstock/understock option set to Show overstock only. The default Report value, On hand, is used. The default columns (Name, Description, Reorder Point, and Max Stock) were selected. The Total column is built into the report.

The report displays all the items that exceed their respective max stock levels, as established in their item definitions. The Total column gives the quantity on hand for each item listed, while the Total line at the bottom of the report gives the sum total.

Notes

If you select a single location or multiple locations, this report currently does not take into account the reorder point and max stock level by location, even if you use Location settings.
