V9 - Handling lot recalls
If you find your company has to recall a lot due to either a customer complaint or you have determined a product in the warehouse is bad, SOS Inventory can help you walk through the process.
To recall a lot, perform the following steps:
- Mark the lot as Recalled on the Lot edit page.
- Locate the lot number on the Lots list (Operations > Inventory > Lots).
- Select the lot number link to open the Lot pop-up window.
- Check the box for the Recalled field.

- Save and close the pop-up.
- Once the lot has been marked as recalled:
- The Recall column on the Lots list will say Yes for that lot.
- SOS will not allow any more quantities of that lot to be picked or shipped. The system will display a message that the item has been recalled, and the user will not be able to save the pick ticket or shipment transaction.
- Locate where the recalled lot is so that you can (1) remove the remaining quantities from your inventory; (2) return the lot to your vendor or adjust it out; and (3) identify the customers who purchased the recalled lot, for notification and return purposes. You can do this with either the Lot stock status report or by running a Lot traceability report.
infoTIP: If your lot is the output of a build or process with lot-tracked input items, the Lot traceability report will make it easier for you to identify the lots for those inputs, allowing you to investigate whether they are involved in the recall.
- To use the Lot stock status report (Operations > Reports > Inventory > Lot stock status):
- Under Filters:
- The As of date should be Today.
- Choose All for Location.
- Select the item to be recalled from the Item dropdown.
- Enter the lot number in the Lot number contains field.
- Under Options: Select Hide rows with all zeros.
- Under Columns: Add the Recalled column.
- Under Retrieve your report: Select Display.
- Use the information found to create adjustments at each location to remove the remaining product from inventory.
- To run a Lot traceability report (Operations > Reports > Inventory > Lot traceability):
- Under Filters: Select the recalled lot from the Lot dropdown.
- Under Options: Set the Trace where lot ... slider to went to.
- Under Columns: Choose Lot, Item, and Recalled.
- Under Retrieve your report: Select Display.
- Use the displayed information to identify which customers need to be notified about the recall, as well as to process customer returns.
- Rerun the report, but this time with the Trace where lot ... slider set to came from.
- Use the displayed information to create an RTV or an adjustment for each location listed.
- If the lot was the output of a build or process that used lot-tracked input items:
- Note the lot numbers of the input items and whether they have been recalled.
- If they have not been recalled, investigate to see whether these lots should also be recalled. If yes, go back to Step 1 above and repeat the lot recall steps.
After finishing this process, you will have a complete list of all customers to be notified, the products they should be notified about, and the vendors that should be notified about recalled products that you have purchased from them. In addition, all necessary RTV, customer return, and adjustment transactions will be completed.
