V9 - Serial inventory and the Serial inventory list
Although all serial items are included on the Items list (Operations > Inventory > Items), this list is not designed to provide specific information on each serial unit you have in inventory or that of each serial unit sold. The Serial inventory list (Operations > Inventory > Serial inventory), however, fills this important gap. Use the Quick search feature to locate a unit by its serial number. Or narrow the displayed list records by setting filters by the Item name; its order Status (in-stock, used, shipped, or adjusted out); its serial number; the Location where it is housed; or the Customer to whom the unit was sold.
If a warranty was defined for the item, the Serial inventory list also includes the type of warranty, along with its start and end dates.
The following serial inventory topics are covered in other articles in the Help Center:
- Settings for serial inventory
- Creating a new serial-tracked item
- Adding serial stock into inventory
- Using serial items on build and process transactions
- Using existing serial-numbered items on shipments, pick tickets, and other transactions
- Converting a non-serial-tracked item into a serial-tracked item
The Plus and Pro plans of SOS Inventory support serialized inventory.
Viewing the history of a serial item
To view a serial item's history, you can use either Show transaction history, which is located on the Action dropdown menu of the Serial inventory list, or the Serial unit history report.
The sections below explain the differences between these two options for viewing serial item history.
Show transaction history for a serial unit
Show transaction history is used to provide information about a specific serial unit only.
When the Show transaction history action is used for sample serial number 201900000186, a pop-up window opens with its History table, as shown in the screenshot below. The table displays the following columns of information: transaction Date, Transaction type, Txn #, From location, To location, From/to vendor, To/from customer, and Value, as well as the Net value. The transaction reference number (Txn #) is a clickable link that will take you to the transaction record on its designated list.
Serial unit history report
The Serial unit history report (Operations > Reports > Inventory > Serial unit history) allows you to filter by the Location (All or selected), Categories, the Item name, or you can enter all or part of the serial number in the Serial number contains field. Additional filters include Customer name and Status of the unit(s). The Status options are All, In stock, Used, Shipped, and Adjusted out.
If you use warranties, you can use the Columns feature to include the kind of warranty--as well as the Warranty Start and Warranty End dates--for each serial unit in the report.
The screenshot below shows the serial unit information for a sample serial item, Mantel Clock.
