V9 - Export data


 

SOS Inventory gives you the ability to export many types of data. Most data exports are quite extensive in information and can be customized to view by date ranges, filters, and other factors such as location. You can also designate a data export as a favorite, save it with your desired customization, and schedule customized data exports to run automatically on a regular basis. Once specified, these data exports are accessible under the dropdowns of the Favorites and Custom and scheduled sections on the Data exports page.

 

Data available for export 

The types of data you can export depend upon your SOS Inventory plan.

 

Below is a chart with all the types of data available for export. While the content of exported data is informational only, the data types with links can be edited and imported into SOS Inventory. The links go to their respective bulk editing articles in the Help Center.

edit_noteNOTE: Although existing sales orders and sales receipts can be exported from SOS Inventory, they cannot be edited and imported back into SOS.  A bulk edit can be used only to import new sales orders and new sales receipts.

 

Data export process

To export data:

 

  1. Select the desired data type from the Data export landing page (Tools & settings > Export data). The system will take you to the export page for that data type.
     
  2. Select your desired Filters, Options, and Columns to include on the export.
     
  3. If exporting items with the intent to update quantity on hand and value on hand: 
    1. Set the As of date or Date range.
      1. Leave the date blank if making changes for today. The timestamp will be for the moment the export is created.
      2. If using any other date, the timestamp is at 23:59.
    2. Select the Location which you are updating (required). 
       
  4. If you intend to make changes and import the data back into SOS Inventory, click the Add all columns required for import button in the Columns section.
     
  5. If you anticipate reusing the export, you can add the export type as a favorite, save how you customized it, or schedule it through the Manage section. See Specifying favorite, customized, and scheduled data exports below for more information.
     
  6. Under Retrieve your report, choose the method of delivery for the exported data.
     
    edit_noteNOTE: If you know that you have a large amount of data to process, use the Send via email option. The resulting file will be sent to you after it is generated.
     
    1. Display. Displays the report data directly on the specified data's export page. Do not select this method if you intend to perform a bulk edit and import the revised file into SOS Inventory.
    2. Email. Sends the exported file as an attachment to the email address(es) you specify. The report file type options are Excel (.xlsx), Legacy Excel (.xls), and Comma-separated values (.csv).  Multiple email addresses must be separated by a comma. Select this method if you have a file with a lot of data.
    3. Download. Choose the desired report file typeExcel (.xlsx), Legacy Excel (.xls), or Comma-separated values (.csv)—then select Download.  
       
      edit_noteNOTE: It is recommended that the Excel format be used for exporting items, since the possibility of long numeric fields (such as SKU) exists. If the CSV file format is used for exporting items, the long numeric fields would be converted to exponential notation when the file is opened in Excel.

 

Specifying favorite, customized and scheduled data exports

SOS Inventory offers you the ability to favorite data exports, as well as customize and save them with the filters and other options you specify. You can also set an export to run on an automated schedule. 

 

Adding a favorite export. Select the desired data from the Data export landing page (Tools & settings > Data export). After accessing the desired data export page, toggle the heart icon to the right of its name to add it as a favorite. The heart icon of a favorite export will be red, as shown in the screenshot below:

 

Select the red heart next to the data export title to make the export a favorite..

 

For easy access, favorite exports will be listed under the Favorites section on the Data exports page. 

 

A favorited export will be listed under the Favorites section on the Data export landing page.

 

A favorite export can be "unfavorited" from the Favorites section by selecting the red minus icon—or if you are on that favorite's page, you can click on the heart to unfavorite it.

 

Customizing and scheduling exports. From the Data exports page (Tools & settings > Data export), go to the section of the data you want to customize, then click its link (e.g, go to the Inventory section and click the Items link).

  1. Select the filters, options, and columns you want.
     
    edit_noteNOTE: When setting up the date range for a customized export, use the Quick date selector fields under the From date and To date filters (e.g., Start of last month and End of last month) rather than specific calendar dates.
  2. Schedule and/or customize the export. You can choose one or the other—or use both.
     
    1. If you want to schedule the report to run on a regular basis, select Schedule.
      1. Choose the frequency (Daily, Weekly, or Monthly).
        1. If the frequency you choose is daily, SOS Inventory will also have you specify the hour of day in which the data export should run.
        2. For a weekly frequency, the system will have you select the day of the week.
        3. Monthly exports always run on the first day of the month. 
      2. Enter up to three email address(es) and/or the FTP network (if configured) to which the export should be sent.
      3. Optional: select Test to try out the export before saving.
      4. Save.
         
    2. If you want to save the report with your customized name, filters, etc., select Save customization as .... Then enter a name for the report and save. Below your custom name is the title of the SOS data export upon which your custom export is based. In the screenshot below, Dale Franken's Steins is the name of a scheduled and customized Price tiers data export.

      1. If you need to edit the name of your saved custom data export, use the pencil toggle to open the Rename pop-up window. Make your edit, then re-save.
         
  3. Saved custom and/or scheduled exports will be listed under the Custom and scheduled section on the Data export landing page, as shown below. Use the arrow toggle to display the names of your custom and scheduled exports. If the export is run on a schedule, it will be indicated next to the data export name.
