V8 - Return transaction field descriptions


 

Add lines. Click to add additional lines to the transaction. The number of lines to be added by default can be specified on the Company settings page.

 

Add RMA. Return transactions can be used to receive goods from multiple return merchandise authorizations (RMAs) associated with the same customer. If other open RMAs for the same customer exist, they will be listed in the Add RMA field dropdown. Select the desired RMA, then click the Add button to import outstanding unreturned items from that RMA into the return transaction. The ability to import items from multiple RMAs can be used only when creating the return transaction. Once it has been saved, a different return transaction must be created to receive the additional goods from an RMA.

 

Apply to RMA. The return merchandise authorization (RMA) transaction number and line item to which the returned item is to be applied.

 

Channel. Sales channel from which this sale was initiated (such as a web order).

 

Class. QuickBooks Online class for this line item. This field is enabled only if class tracking is enabled in QuickBooks Online.

 

Clear lines. Clears all data entered in a line-item block.

 

Comment. An internal note on a transaction.

 

Create bill. Checking the box creates a bill from the vendor associated with the shipping method.

 

Create credit memo. Checking the box sends a credit memo to QuickBooks on the next sync. It will remove any existing credit memos linked to this return.

 

Credit amount. If the Create credit memo box is checked on the return, the monetary amount to be credited to a customer for the return of an item. The sum of the credit amounts for all returned items will be the amount in the credit memo.

 

Customer. Customer for whom the transaction applies.

 

Customer address. The customer billing address for return merchandise authorizations. 

 

Customer notes. Internal notes from the customer definition. Updating this field will update the customer definition as well. Do not store any credit card or bank information, social security numbers, medical information, or other sensitive/privacy-protected data in this field.

 

Date/time. Transaction date with timestamp.

 

Department. Department for this transaction.

 

Description. The sales description of the item.

 

Item. Enter or select the desired item. New items can also be created.

 

Location. The location where the returned item(s) are received.

 

Multitool. The Multitool icon is located in the far-left column of a line item. The Insert tool, the blue triangle in the top left corner, inserts a blank line above the icon. The Copy tool, the encircled down arrow in the bottom right corner, copies a line and pastes the duplicate on the line immediately below the icon. The Move tool, a box containing three lines, moves and reorders line items. When your cursor moves inside the box, a four-pronged white arrow appears. Click, hold, and drag the arrow to move and reorder the line.

 

Quantity. The number of item units to be returned.

 

Remove. Click the trash can icon to remove a line from the transaction.

 

Restock value. The value of the item returned. If the return transaction is generated from the original shipment transaction (the preferred method), the restock value populated will reflect the exact cost-of-goods-sold value. If the return is generated from its associated sales order, invoice, sales receipt, or RMA, the restock value is populated from the item’s purchase cost as listed in its definition.

 

Return #. Reference number used to identify a return transaction. This field is searchable. The system will attempt to number the transaction automatically, depending on your settings for returns, located under the Returns tab on the Sales settings page.

 

Sales rep. Sales representative assigned to the original sale.

 

Ship method. The carrier used to ship the returned item(s).

 

Shipping cost. The cost of shipping a return.

 

Tracking #. The number assigned to a shipment by a carrier.

 

Unit price. The price of each item.

 

UOM. The unit of measure if the Units of Measure feature is enabled. Available on Plus and Pro plans.

 

Vol. The weight as defined in the item’s definition.

 

Wgt. The volume as defined in the item’s definition.
