V9 - Customer field descriptions


 

Custom fields may appear on customer edit pages, depending on how each field has been defined. If present, a section containing custom fields is below the standard SOS data fields. The fields will be of the input format and value that you have defined.

 

Alt Phone. An alternate phone number used to contact a customer.

 

Bill with parent. On accounts that are sub-customers of a parent customer, specifies that bills pertaining to the sub-customer are to be paid by the parent.

 

Billing Address. A block of fields that specify the customer’s default billing address information. Fields include up to five lines for the street address, post office box, attention line, etc., along with City, State/Province, Postal code, and Country fields.

 

Business license. A customer’s government-issued business license number. It does not sync to QuickBooks Online.

 

Company. The company name of the customer. If the Name and Company data are the same, leave the Company field blank. If the company name has a designator (for example, “Inc.,” “Ltd.,” or “LLC”) as well as a trade name (“doing business as” or “DBA”), enter the designator in the Name field and the trade name in the Company field.

 

Contact. A block of fields that include the Title, First name, Middle name, Last name, and Suffix of the customer contact. If the Name and Contact field data are the same, leave the Contact field blank to prevent duplicate name information from appearing on PDFs of customer-facing transactions.

 

Contractor Number. A government-issued license number that permits a customer to perform contract services. This number does not sync to QuickBooks Online.

 

Currency. The currency used in transactions with the customer. This field is visible only if the Multicurrency feature (Tools & settings > Configuration > Company > Accounting) has been enabled. Before the customer definition syncs to QuickBooks, you can edit the Currency field. But once the definition has synced to QuickBooks Online, the currency will be grayed out and cannot be changed. In this case, you must create a new customer profile with the correct currency in the customer definition.

 

Customer Type. Select from the dropdown the type of customer (e.g., wholesale, retail, online, etc.). Customer types must be defined in SOS Inventory before they will appear in the Customer Type dropdown list.

 

Default tax. The default sales tax rate assigned to this customer.

 

Email. The customer’s email address.

 

Fax. The customer’s fax number.

 

Found us via. The avenue through which the customer learned about your company.

 

Mobile phone. The customer’s mobile phone number.

 

Name. The name of the customer.

 

edit_noteNOTE: If the Name and Contact field data are the same, complete the Name field and leave the Contact blank. This will prevent duplicate name information from appearing on PDFs of customer-facing transactions. For the same reason, if the Name and Company data are the same, enter the company name in the Name field and leave the Company field blank. If the company name has a designator ( for example, "Inc.," "Ltd.," or "LLC") as well as a trade name ("doing business as" or "DBA"), enter the designator in the Name field and the trade name in the Company field. If the data for the Name, Contact, and/or Company are different, complete each field accordingly.
 

 

Notes. Internal notes about this customer. The notes do not appear on a copy of a transaction that a customer receives, as long as the Notes field is not added to the form template of those transactions.

 

Parent Customer. For a customer that is a sub-customer, the name of the parent customer to which the sub-customer is linked.

 

Payment method. The default payment method for customer payments.

 

Phone. The customer's primary phone number.

 

Portal Password. The customer’s password for logging in to view their orders on your company’s customer portal. A button to the right of this field allows you to generate a new password. A password may also be entered manually.

 

Price tier. The price tier assigned to this customer. The tier must have previously been defined in SOS Inventory in order to appear in the Price tier dropdown list.

 

Resale number. A government-issued number that allows your customers to avoid paying sales taxes on items they purchase for resale. This number does not sync to QuickBooks Online.

 

Shipping Address. A block of fields that specify the customer’s default shipping address information. Fields include up to five lines for the street address, post office box, attention line, etc., along with City, State/Province, Postal code, and Country fields. Select the Same as billing button to import the Billing Address data into the Shipping Address fields. 

 

Sales rep. The name of the sales representative assigned to the customer.

 

Tax exempt reason. This setting appears only if your company has enabled the automated sales tax feature in QuickBooks Online and the Taxable box is not checked for a customer in SOS Inventory. When the Tax exempt reason is displayed, selecting a reason from the dropdown list is required. Options are: Federal government, State government, Local government, Tribal government, Charitable organization, Religious organization, Educational organization, Hospital, Resale, Direct pay permit, Multiple points of use, Direct mail, Agricultural production, Industrial production/manufacturing, Foreign diplomat, Other.

 

Taxable. Indicates whether the customer is taxable.

 

Terms. Established terms of payment with a customer.

 

This customer is on a credit hold. If checked, stops the processing of a new sale to a customer. 

 

Website. The URL of the customer’s website.
