V9 - New features and enhancements


 

SOS Inventory's version 9 is here! We're excited to introduce the new look, features, and enhancements of our latest upgrade.

User interface

Topic Notes
Login page password reset Conforms to industry standard of emailing a link to the user to change the password. New Show passwords option in the pop-up window.
Design New color scheme, icons, font and page design—all powered by the sophisticated SOS API.
Menus and navigation Familiar layout with more intuitive menus. See Introduction to the Operations center: main menus and display area.
Global search In-app tips and keywords at your fingertips. Displays your recent transactions with links for quick access.
Company menu Redesigned to provide quick access to account information and Users list.
User menu Redesigned to combine all user settings into one page. The updated Change password process is separate from other user settings.
Help menu Direct links to the Help Center and the Training Registration page on our main website, sosinventory.com.
Notifications Redesigned to turn notifications into tasks. The add notification function has been removed.
Sync menu Icon changes to display a green checkmark for a successful sync, and a red exclamation point to show sync errors. You can physically see when a sync is happening by the spinning error, even if you did not initiate the sync.
Settings menu

Contains the new Configuration mode, updated Export data and Import data, and the Activity log.

Operations menu Reordered for smoother daily tasks, with selections grouped in a common-sense fashion.
Payments Now standard on all SOS Inventory plans. Seamlessly syncs to QuickBooks Payments.
Dashboard and Calendar Redesigned for improved appearance and usability, as well as with new options.

 

 

Configuration center

Settings and Company settings Combined into a centralized Configuration center that uses a waterfall structure to easily complete settings by functional area. All your current V8 settings will still be there.
Configuration search bar Settings are fully searchable, so you can find a setting without knowing the page where it is located.
Lists A tab in Configuration mode that houses almost all non-transaction lists previously under the V8 Company Menu. The exception is the Bins list, which has been moved under Operations > Inventory.
Additional settings and connections Separate setting tabs in Configuration mode for Company settings, each of the Operations menu areas, and all connections.
Price tiers edit page Completely redesigned to have a visual list for easy editing of the tier. Makes assigning items to a tier more efficient, allowing you to add as many items to a tier as needed from within the price tier Edit page.
Inactivity timeout Located under the General company settings (Tools & settings > Configuration > Company > General), this new feature allows you to define when to log a user out of SOS Inventory due to no activity. 
Shipment cost is taxable This new setting, added to the General sales settings (Tools & settings > Configuration > Sales > General), allows shipping to be included in the taxability of a sales transaction. 
Updated invoice numbering Three options are available for invoice numbering: directly-added invoice reference numbers; inheriting the sales order number; or numbering by QuickBooks when the invoice is synced from SOS. 
Transaction edit mode Controls how line items appear when viewing saved transactions. Row by row requires clicking a line's pencil (edit) icon on a transaction to enable editing for that line. This setting improves performance when viewing transactions with 300 or more line items.  
UPS and Shopify connections Redesigned to simplify the connection process.
SOS subscription payment receipt recipients

If you want someone other than the person who signed up for SOS Inventory to receive receipts when payments are made on your SOS Inventory subscription, enter that person's email address in Additional recipient for payment receipts (Tools & settings > Configuration > Company > General).

Tracking email configuration Each V8 tracking email configuration option has been moved in V9 to its appropriate transaction setting section and is included in the body of its email message. Refer to Terminology and setting changes below for more details.
User count overage When adding a new user will cause you to exceed the limit of your SOS Inventory subscription plan, the system displays a message at the top of the user Edit page to notify you. 

 

 

Transactions and lists

List views

V8 to V9 migration impact on filters, settings, and data records All V8 list filters, settings, and data records remain as you last set them when moving to V9.
Columns More columns are available, and you can drag and drop the columns to set the order in which they appear on the list as included fields.
Actions Only the options that are available at that time, based on filters and conditions, are displayed. For example, an archived item displays the Unarchive action, but not the Archive action. A transaction that is closed will display the Open action, but not the Close action.
Archive bar

On the Items list, an archived item displays a yellow bar to the left of the item name.

Pending purchase order approval bar On the Purchase orders list, a red bar is displayed to the left of a purchase order reference number indicates that the PO is pending approval.
Download icon Downloads the displayed page of a list.
Sortable columns Many columns on lists are sortable. Any column that is sortable displays an arrow when you hover your cursor over the column header. The arrow is a toggle that allows you to perform an ascending sort (upward arrow) or descending sort (downward arrow). Only one column can be sorted at a time, and the arrow remains visible next to the column name. 
Base UOM column New column option on the Items list.
Units of measure action Will not allow two conversions using the same unit of measure for an item on the Items list. The system displays a message if you try to delete a conversion that has history.
Txn cost/unit column New column on the item transaction history table shows the transaction cost per unit.

 

 

Editing pages

Regrouped data fields Data fields on edit pages have been reorganized into groups of related information.
Available for sale "eye" icon on sales Edit pages To enhance system performance, SOS does not automatically load the available item quantities when a saved sales transaction is opened. However, if the eye (visibility) icon is clicked for a specific line item, its available quantity will be displayed.
Picked column Added as a column on sales orders and sales receipts.

Multiple price tiers

in same transaction

SOS Inventory now enables you to apply different price tiers to items on the same transaction.
Optimistic concurrency Two users can edit the same sales transaction simultaneously. However, if one user saves the transaction, the second user will receive a saving conflict message when they attempt to save the transaction. The second user has the option to overwrite the first user's changes or discard their own.
Discounts, Tax, and Totals Revamped for ease of use. In addition, the Discount/tax toggle allows you to choose whether to apply a discount before or after the tax on sales transactions.
Inline add of new customers, vendors, and items When you need to add a new customer, vendor, or item while working in a transaction, the system opens the appropriate Edit page in a pop-up window so you can fully define the new customer, vendor, or item. All relevant information from the definition is added to the transaction once completed.
Adding attachments The paper clip (attach_file) icon, located on the Edit page navigation bar of many types of edit pages, allows you to attach or more files to the data record you are working in. This icon also appears on the records of the accounting lists located under the Sync menu. You can drag and drop or use the file selector to attach the document. Saved attachments are shared by default and added to the Documents and files list.
Ship method and tracking information on invoices Data fields for the shipping method and tracking number of a sale are now included on invoice Edit pages. 
Signatures from iOS app A signature obtained via the iOS app is now visible on the transaction Edit page using any device. In addition, a Signature column has been added to transaction lists. If a signature has been obtained for a transaction, the associated list's Signature column will say Yes for that transaction record.
Item receipt Accounting transaction type and Bill due date fields The Payment field on V8 item receipt transactions has been renamed Accounting transaction type in V9. If Bill is selected from the dropdown, a new field, Bill due date, appears. It allows you to enter a due date calculation based on either the item receipt date (the system default) or the vendor invoice date, selected using a slider. In addition, you can use Default accounting transaction type for item receipts (Tools & settings > Configuration > Purchasing > Item receipts) to set your preferred accounting transaction type. 
Transaction numbering In V8, the transaction reference number for an auto-numbered transaction is assigned on its Edit page as soon as a new transaction is opened. This causes a numbering conflict if multiple users are creating the same type of transaction at the same time. V9 handles this scenario more effectively by not assigning the number until the transaction is saved. To see the assigned number while working in the transaction, use the Save and keep editing option under the More button of the Edit page navigation bar.

 

 

Lots, serials, and bins

Lot selection on transactions When selecting lots on transactions, the displayed lots and their quantities (shown in parentheses) pertain only to the location designated on the transaction.
Serial item selection on transactions

Enhanced selection ability on serial numbers in transactions means you no longer need to run reports to identify your serial inventory. The system displays only those serial units available at the location selected on the transaction. Just click on the numbers needed for that transaction. SOS prevents you from over selecting and has been corrected to eliminate double selecting serial units.

Bin selection on transactions When selecting a bin-tracked item on a transaction for a bin-tracked location, the dropdown displays all bins containing that item, along with the quantity on hand for each bin (shown in parentheses). The bins and quantities shown are for that location only. Lot items in bins shows the breakdown of each lot within a selected bin. Serial items in bins will show counts based on the location and bin.

 

 

Reports and data exports/data imports (bulk editing)

Reports

All V8 reports are present in V9 and grouped by function. Reports display only to users with the appropriate permissions. You can favorite or unfavorite a report by selecting the heart icon in the report page heading. Settings roll up when Display is selected as the method for retrieving your report. You may schedule without customizing a report first. Scheduled report show the selected schedule, such as Daily at 4:00 p.m.

Exports Work the same as the reports described above.
Item delete using bulk edit

Items can now be deleted using the bulk edit process. Please note that an item may be deleted only if its QuantityOnHand and ValueOnHand are already at zero. If not, then the edit that brings these values to zero must be imported first. A second edit and import must be done to set the Deleted value to TRUE.

Allow negative inventory

(Tools & settings > Configuration > Inventory > General > Allow negative inventory)

Don't ask about negative inventory The default for this setting in V9 (unchecked box) is the opposite from that in V8 (checked box). Keep Allow negative inventory unchecked if you do not want the system to allow negative inventory.

Allow negative inventory in bins

(Tools & settings > Configuration > Inventory > General > Allow negative inventory in bins)

Prevent negative inventory in bins These settings are the opposite of one another. Keep Allow negative inventory in bins unchecked if you do not want the system to allow negative bin inventory.

Include category prefix on item names

(Tools & settings > Configuration > Inventory > General > Include category prefix on item names)

Find items by short name The V8 and V9 settings are the reverse of each other. Include category prefix on item names is not enabled by default.

Invoice message

V8's Tracking email config does not exist as a single page in V9. Use the Invoice messages field to specify a default customer email message and include the merge code for making an online payment, [PaymentLink], in the message. This feature requires a subscription to SOS Pay.
