Welcome to SOS Inventory!
This video tour navigates the setup process to rev up your experience in SOS.
As you’re setting up your trial account, don’t forget to check out all the helpful resources we have for you. You’ll find links to our version 8 user guide and video tutorials right inside the software’s Help menu. Or just bookmark our Help Center at help.sosinventory.com so you can easily access it on your computer, tablet, or phone.
There, you’ll also find a link to sign up for our live online classes led by our top-notch SOS Inventory trainers. Your trial includes three introductory classes: numbers 1000 - Starting SOS Inventory & Key Settings; 1001 - New Customer Orientation; and 1003 - Item Creation and Management. And yes, they’re totally free!
Everything we cover in this video is also laid out in the Quick Start Guide article in the Help Center. It’s packed with helpful links and videos to walk you through the set-up process, step by step.
Alright, let’s get started.
First: If you’re using QuickBooks Online, connect it to SOS Inventory. Click the gear icon for Settings, then head over to QuickBooks Setup. Hit that Connect to QuickBooks button. Log in to QuickBooks Online. Then click Connect to let SOS sync your data.
Once the sync begins, sit tight and wait for it to finish before moving forward. We’ll send you an email when it’s all done.

You can submit a support request from the software’s Help menu. Just click Contact Us. Or head to the Help Center, scroll to the bottom of a page, and shoot us an email from there.
Next, take a few minutes to set up some key settings so that SOS works the way you want it to.
- Go back to the Settings gear and again select QuickBooks Setup. Since SOS is now connected to QuickBooks Online, you can pick your sync settings with QuickBooks.
- Under the menu that displays your name, select User Settings and choose your preferences.
- Other important settings include Company Settings, which are under the menu with your company name, while Purchasing, Inventory, and Sales settings live under the gear icon.
Set up anything else you’ll need—like locations, shipping methods, or integrations with e-commerce tools like Shopify and ShipStation. Look for these additional features under the Miscellaneous section of your Company menu and the Settings gear. These settings will be covered in depth in the Starting SOS Inventory & Key Settings class.
Now it's time to add or edit your items.
If you synced with QuickBooks, your items are already in SOS. Just a heads-up: They’ll show up as Inventory items by default. So you’ll need to edit any items that should be a different type. The Item Creation and Management class covers item types—and lots more.
Have a lot to edit? No worries. You can use the Export Data and Import Data features with your spreadsheet software to make bulk changes quickly and easily. Not only can you update item types, you can also add categories, define assemblies, and set up BOMs using another spreadsheet.
The Help Center’s bulk edit articles and videos will walk you through these processes.
If you have additional data that did not sync over from QuickBooks—like more vendors, items, or customers—you can add them in SOS, and they’ll sync back automatically. Bulk editing works for those too.
Next up: Experiment with your workflows! Get to know how the purchasing, sales, and manufacturing processes work. SOS Inventory’s flexibility allows you to set up the workflows you need to operate your business your way. Be sure to check out the Help Center’s articles on workflows to see how you can use SOS to manage them.
Once you’ve finished your test drive in SOS and are ready to subscribe, go to the Company menu. Hit Account Info. Choose a plan. And enter your payment info.
