V9 - Adding lot items into inventory
Lots must be created in the system in the following situations:
- When receiving lot-tracked items into inventory. An item receipt is typically used for creating new lots at the time lot-tracked items are received into inventory.
- When adding finished manufactured goods into inventory. On build and process transactions, lots must be created for lot-tracked output items.
- When an adjustment is used to add lot-tracked items into inventory, but the lot does not already exist in the system. In this case, the lot must be defined before it can be used in an adjustment transaction.
Methods for creating lots
Lot numbers can be added using these methods:
- Manually entering or scanning the lot numbers in a transaction. This is commonly done for item receipts. These methods can also be used to add lots for the lot-tracked output items in builds and processes, if you do not want SOS to auto-generate the lot numbers.
- Using the Auto-serial/lot numbers feature in build and process transactions. This method creates system-generated lot numbers when you save the transaction.
- Adding a new lot via the Lots list. This method should be used only when the lot is needed for use in an adjustment.
Each of these methods is explained further in the subsections below.
Manually entering or scanning a new lot on a transaction
Place your cursor in the Lot field in the Description column of a line item to manually enter or scan a new lot. Regardless of the method you use, you must manually enter the lot's Expiration date.
Using Auto serial/lot numbers for lot outputs in builds and processes
System-generated numbers are the easiest option when using a build or process transaction in the manufacture of lot-tracked items. When you check the Auto serial/lot numbers box on the transaction, the Lot and Expiration fields are hidden, as shown below. Enter the Expiration date before checking the Auto serial/lot numbers box. (If you forget, you can uncheck the Auto serial/lot numbers box, enter the Expiration date, then recheck the box.)
When the transaction is saved, the system assigns lot numbers according to the automated lot number settings established by your company in the General inventory settings (Tools & settings > Configuration > Inventory > General). Open the saved transaction to see the lot numbers assigned and view (or enter, if you forgot) their expiration dates.
Adding a new lot via the Lots list (used for adjustments only)
An adjustment transaction (Quick add > Inventory > Adjustment) is used if you need to adjust a lot-tracked item at a specific location. However, a new lot cannot be added via an adjustment transaction.
Lots are normally created in SOS Inventory when they are added via an item receipt. The only situation in which you should use the Lots list to create a lot is when the lot needed for an adjustment transaction does not exist in the system.
In this situation, a lot must be defined in the Lots list. Then it will be added to the Lot dropdown options available for that lot-tracked item in the adjustment's line-item table.
Steps for creating a lot that will be used in an adjustment:
- Go to the Lots list (Operations > Inventory > Lots), then select +Add.
- Complete the field for the Lot number.
- Choose the lot item from the Item dropdown.
- Enter a Description for the lot.
- Select the lot's Expiration date.
- Save the lot.
Once the lot has been created, you can adjust lot quantities and values up or down, as needed. The new lot will appear in the adjustment's Lot dropdown.
