V8 - Build and process transaction field descriptions


 

Custom fields may appear on purchase order transactions, depending on how each custom field has been defined. If present, a section containing custom fields is below the standard SOS data fields. The fields will be of the input format and value that you have defined.

 

Add lines. Click this link to add additional lines to the transaction form. On the Company Settings page (Company menu > Company settings), you can specify the number of lines added by default.

 

Apply to WO. The work order and line item with which the output item on a build or process is associated.

 

Auto serial/lot numbers. Check this box to generate serial/lot numbers automatically for output items according to your Purchasing settings (Settings menu > Purchasing settings).

 

Build #. Reference number identifying this build transaction. The system will number the transaction automatically if autonumbering is enabled in the Inventory Settings (Settings menu > Inventory settings).

 

Class. QuickBooks Online class for this line item. This field is enabled only if class tracking is enabled in QuickBooks Online.

 

Clear lines. Click this button to clear the items from the form completely.

 

Comment. Internal comment about a transaction. The comment is not displayed on the transaction when printed or emailed.

 

Date/time. Transaction date and timestamp.

 

Department. Department for this transaction.

 

Description. This block is multifunctional and can contain any of the following:

  • Sales description for the item. The default sales description, as entered in the item definition.
  • Lot entry blank. Allows you to enter a lot ID for a lot-tracked item. This number can be autogenerated based on your Purchasing settings.
  • Expiration. A date field that allows you to set an expiration date for a lot-tracked item.
  • S/N blank. A blank that allows entry of serial numbers for serial-tracked items. The number of blanks corresponds to the quantity entered on that line. Numbers can be autogenerated based on your Purchasing settings. If you have many serial numbers to enter, you can use the Upload button to select a CSV file listing all the serial numbers needed for that one item on the list. The CSV file should contain the numbers only.

 

Inputs. The table of line items to be used in manufacturing goods.

 

Item. An item on the transaction. Enter/select the name of an existing item from the dropdown list. New items can also be created.

 

From job. Job from which an input item on a build or process is referenced from another job to transfer the value into this transaction. This box is available only if Job tracking is enabled on the Inventory Settings page.

 

Line. A column that shows the order of line items on a table. The order of individual line items can be changed using the Multitool.

 

Line #. In the Apply to WO column, the line-item number on a work order to which an output on a build or process is applied.

 

Location. On builds and process transactions, the location where the items are being manufactured.

 

Multiplier. On a process transaction, the number by which input and output item quantities (i.e, those imported from a process template) are to be multiplied to obtain the desired output quantities.

 

Multitool. The Multitool icon is located in the far-left column of a line item. The Insert tool, the blue triangle in the top left corner, inserts a blank line above the icon. The Copy tool, the encircled down arrow in the bottom right corner, copies a line and pastes the duplicate on the line immediately below the icon. The Move tool, a box containing three lines, moves and reorders line items. When your cursor moves inside the box, a four-pronged white arrow appears. Click, hold, and drag the arrow to move and reorder the line.

 

Notes. An internal note pertaining to an input item on a build.

 

On hand. The quantity of an item that is available for use.

 

On SO. On a build transaction, the quantity of an output item needed to fulfill sales order(s).

 

Output or Outputs. The table of line item(s) to be produced by the build or process.

 

Process transaction #. Reference number identifying a process transaction. The system will number the transaction automatically if autonumbering is enabled in the Inventory settings (Settings menu > Inventory settings).

 

Qty to build. The quantity of assemblies to be manufactured on a build transaction.

 

Quantity. The number to be produced for an output item on a process transaction.

 

Qty used. On a process transaction, the quantity of an item required to produce the outputs.

 

Remove. Click the trash can icon to remove a line from the transaction.

 

Start date. The beginning date of the process manufacturing.

 

Template. The process template to be used on a process transaction.

 

To job. The job to which an output item on a build or process should be applied.

 

Total in build. On a build, the total quantity required of an input item to manufacture the specified quantity of an output item.

 

Qty to build. The quantity to manufacture for an output item on a build transaction.

 

UOM. If Units of Measure are enabled in Plus or Pro plan, you will see the list of possible measures. If imported from a BOM or process template, the UOM will be the base unit by default. On processes and builds, the base unit of measure should always be used.

 

Update inputs. When this button is selected on a build transaction, component items listed in an assembly’s bill of materials will appear in the Inputs table. If any changes are made to the output item after the input items have been imported, you must select Update inputs again to refresh the Inputs table information.

 

Used per. On a build transaction, the quantity required of a specific input (component) item to build one unit of the output (assembly) item, as specified in the bill of materials.

 

Waste. Check the box if the output item on a process is a waste product. NOTE: SOS Inventory returns a waste item to inventory. An adjustment transaction must be used to remove waste products from the system. See Waste product and yield percentage for important information on handling waste.

 

WO #. The work order transaction reference number to which an output on a build or process is applied.

 

Work center.  Pro plan subscribers who have defined work centers will see the Work center dropdown list on build and process transactions. Select Finished goods if the output(s) are completed items. Other dropdown options indicate a stage for a build or process that is a work in progress.
