V8 - Jobs
Jobs, available in the Pro plan of SOS Inventory, are a convenient way of organizing groups of transactions. Each job, and even each stage of a job, can have its own profit-and-loss statement to show you precisely how much money you made or lost on a given set of transactions. To enable job tracking in SOS Inventory, go to Settings menu > Inventory settings and turn on Job tracking.
Jobs list
Job forms are stored on the Jobs list (Operations menu > Production > Jobs).
The Job dashboard, located on the Actions menu, allows you to quickly access each transaction associated with the job. Another action, View profit/loss, allows you to see the gains and losses for each job.
For a general overview of how lists work in SOS Inventory, refer to List functions. See Action and batch action descriptions for more information about the actions available on lists.
Adding and editing jobs
To add a job, use any of the following methods:
- Generate a job from a sales order or sales receipt. Locate the parent transaction record on its appropriate list, then select Create job from its Actions menu.
- Go to the Quick add > Production > Job.
- Go to Operations menu > Production > Jobs, then select the Add new button on the list page.
Explanations for fields pertaining to jobs are listed below under Job field descriptions.
An existing job can be opened for editing by selecting its Edit button on the Jobs list. Be sure to save your changes.
When adding or editing a job, you can specify one or more work centers for the job and the order in which they occur. You must have at least one work center (Finished Goods). For more information, see Work centers.
Once job tracking is enabled, transactions in SOS Inventory will include the option to specify the job to which the transaction, or the line item on the transaction, will be attached. The list will include all open jobs in the system and their associated work centers.
Job field descriptions
If you have defined any custom fields for jobs, they will appear after the standard SOS Inventory fields, in the Custom fields section. The fields will be of the input format and value that you have defined.
Customer. The name of the customer for whom the job is being performed. New customers can be added if desired. This field is optional.
Description. The description that applies to this job. If generated from a sales order or sales receipt, the system will insert in the Description field, “Job for [sales order or sales receipt] [transaction reference number]."
Job address. A block of fields that, if a job is associated with a customer, contains the customer’s shipping address. Fields include up to five lines for the street address, post office box, attention line, etc., along with City, State/province, Postal code, and Country fields.
Job number. The system-generated number assigned to this job upon saving.
Multitool. The Multitool icon, located in the far-left column of a line item, is usually multifunctional. But for jobs, only the Move tool is available. The three bars of the Move tool (icon with three lines) allow lines to be reordered when clicking, holding, and dragging the white arrow that appears.
Name. The name used for this job. If generated from a sales order or sales receipt, that transaction’s reference number will serve as the name of the job.
Remove. Click the trash can icon to remove a stage from a job.
Restore. Restores the stages and their sequence to their defaults.
Stages. A table listing the work centers and their sequencing as defined in SOS Inventory. Each stage can be deleted or reordered using the Multitool’s Move feature (icon with three lines).
Job dashboard
To view the dashboard for a job, go to Operations menu > Jobs and click the Job dashboard option on the Actions Menu of the job you wish to view. The dashboard will allow you to quickly access each transaction associated with the job. In addition, you can close the job or view the profit and loss for each job.
Job costing (profit/loss)
To view the profit/loss for a given job, go to Operations menu > Jobs and select Profit/loss on the Actions Menu. Then you can view the profit and loss for the job as a whole or for each work center. The line items on the statement include all transactions for which that job was selected.
