V9 - Import data


 

Importing data to SOS Inventory requires that the uploaded data be submitted in a format that the system can read. Be sure to use the appropriate SOS Inventory data export file, and observe the general rules for bulk editing data, as well as those for the data type you wish to import.

 

Kinds of importable data

SOS Inventory currently accepts the following data for import:

 

  • Items
  • Customers
  • Vendors
  • BOMs (bills of materials)
  • Price tiers
  • New sales orders. Existing sales orders cannot be imported.
  • New sales receipts. Existing sales receipts cannot be imported.

 

Steps for importing data

Follow these steps to import bulk edit data:

  1. Go to Tools & settingsImport data).
  2. Select the type of data you want to import.
     
    edit_noteNOTE: If your Excel-formatted file has multiple sheets, the system will display a list of sheets in your workbook. You must select which sheet to upload. 
    1. If importing item changes which include updated quantity on hand and value on hand:
      1. Select the location. The location must match the one selected for the export.
      2. Enter the As of date, ensuring it matches the date that you chose when you performed the data export. Leave the date blank if changes are intended for today. 
         
  3. Choose the Excel or CSV file containing your data.
     
  4. Select Preview. Up to ten rows of data will appear for your review to ensure that you are importing the correct file.
    1. If importing items from a workbook with multiple sheets, you will need to select the appropriate sheet from a dropdown list.
       
  5. If everything in the Preview looks correct, select Import. The system will begin to process the data.

 

SOS will send a notification to your Notifications list that lets you know whether the import was successful. If there is an error while importing, the notification will state "Import failed" and provide the reason for the failure. One of the common reasons for failure is column headings that are incorrect. You must keep the columns in the template and leave the headings the same, or the upload will not complete properly.
