V8 - Bulk editing sales orders


 

Refer to the EDI and Sales Order Import Mandatory Fields for a list of data that is required for import. 

 

Existing sales orders cannot be edited via the bulk edit process.  However, new sales orders can be imported to SOS Inventory using a bulk edit.

 

The processing of importing sales orders is very fast. If you are using AOP rules for sales orders, please note that AOP rules activate automatically when the transactions are uploaded into your system. If an AOP rule includes emailing a contact, this will slow down the process considerably, so patience is required.

 

Imports of sales orders are commonly used for moving sales orders from QuickBooks Desktop or Enterprise to SOS, or to upload orders coming through the EDI process.

 

Steps for adding and importing new sales orders via a bulk edit

  1. Go to Company menu > Data tools > Export data.
     
  2. Select Sales orders.
     
  3. On the export page:
    1. Go to the Columns section and select Add all columns required for import. (Ignore the Transaction date, Filters, and Options sections).
    2. Under the Actions section:
      1. Choose the desired file type (Excel or CSV) from the Format dropdown. 
      2. Choose either Save as Excel/CSV (to download the export directly) or Send via email (to download the exported file as an email attachment).
         
  4. If opening the spreadsheet in Excel and the exported format was also in Excel, you must unprotect the sheet prior to editing.
     
  5. Add your data to the spreadsheet. Do not change any column headings.

    infoTIP: If you have enabled the Multicurrency feature and leave the Exchange rate field blank on sales orders, SOS Inventory will automatically populate upon import the stored exchange rate for the date of the transaction.
  1. Import your data.
    1. Go to Company menu > Data tools > Import data.
    2. Under the Importing dropdown, choose Sales orders.
    3. Under the File field, choose the file you wish to import.
    4. Select Preview. SOS will display the first 10 lines of data so you can check to ensure that the correct file of data is being uploaded.
    5. If the Preview looks correct, select Import.

 

SOS Inventory will send a notification that the data have been successfully imported, or that it has not and some action on your part is required. Please email Support if you have questions about importing sales orders.
