V8 - Creating and using categories


 

Categories are a means of grouping similar items together. SOS Inventory supports up to three levels of categories (a main category and two subcategories).

 

tips_and_updatesEXAMPLE: If a company carries a variety of chairs, all those chairs are scattered throughout the Items list. Creating a category called Chairs allows the Change filter feature on the Items list to display by category the records of all chairs, together.

Some reports and data exports pertaining to items have the option to filter results by category. Categories sync with QuickBooks Online.

 

Creating categories and subcategories

A category, whether a main category or a subcategory, is classified as a type of item in SOS Inventory, so a category is created using an item page.

 

  1. Open a blank item page. Go to the Task bar and select Quick add > Inventory > Item—or go to Operations menu > Inventory > Items, then select Add new.
  2. Complete the following data fields (shown in the screenshot below):
    1. Enter the name of the new category in the Name field.
    2. Completing the Description field is optional.
    3. Under Type, select Category from the dropdown list. When finished, Save and close.

The new category will appear in the Items list and will be added to the dropdown list of choices for the Category field on an item Edit page.

edit_noteNOTE: If you try to assign a category for an item but have only None as an option, it indicates that no categories have been defined.

To assign an item to a category, create a new or open an existing item on the Items list. For each new or existing item that will be assigned to that category, on the item Edit page, select the name of the appropriate category from the Category field’s drop-down list. In the screenshot below, the item Blackberries has been assigned to the category Produce

Assigning subcategories to categories

A subcategory must be assigned to its parent category. Using the Blackberries item above as an example, you might want to have Produce as the main category, but also have two levels of subcategories for Blackberries, where Fruit is subcategory 1 and Berries is subcategory 2. After creating these (category) items, assign Fruit to its parent category, Produce, as shown in the screenshot below. Then Berries must be assigned to its parent category, Fruit (listed as Produce:Fruit in the Category field dropdown).

As shown in the screenshot below, the options Produce, Produce:Fruit, and Produce:Fruit:Berries are now included in the Category field drop-down list. The inventory item Blackberries can now be assigned to the category Produce:Fruit:Berries.
