V8 - Items list

The data records of all items are stored on the Items list (Operations menu > Inventory > Items). In SOS Inventory, items can be whatever you need them to be: inventory that you stock and sell; non-inventory items such as drop-shipped products; assemblies and kits (item groups)categories that you assign to items; expenses you pay, such as fees associated with participating in trade shows; services that you offer, such as repairs; labor costs; and overhead expenses like rent, insurance, and utilities. You can also create items that do not fit into any of these types.

Although all serial- and lot-tracked items are found in the Items list, the Serial inventory list and Lots list include specialized information that is not available in the Items list. See Serial inventory and Lots for more information.

For a general overview of how lists work in SOS Inventory, refer to List functions.

Actions unique to the Items list

A number of options on the Actions menu are unique to the Items list. Location settings allows you to specify the reorder point, maximum stock level, and default bin for an item housed at multiple locations. If you use SOS Inventory's Units of measure (UOMs) feature, you can set up multiple UOMs for the same item with the Units of measure action. Use the Add to reorder list action if your inventory of an item is getting low and you want to include it on the Reorder list—your "shopping" list for an upcoming purchase order. For items designated as assemblies or kits (item groups), Bill of materials is used to specify the component items and their quantities needed to create a single assembly unit or kit. The Variants action enables the variations of a master item to be created and linked to that master.

Another action available only to items is Clear cache. SOS Inventory caches an item’s quantity data (including quantity on hand and quantity for sale) on sales orders, sales receipts, purchasing orders, and work orders. Although caching increases the speed and performance on the Items list, in certain situations it may not update as expected. The Clear cache action allows the system to zero out the cached quantities of an item. It does not affect the stored quantity-on-hand number. Cached quantities are re-established when the Items list is refreshed.

Transaction history is a very helpful action available on the Items list, as it can be used to troubleshoot discrepancies in item quantity and cost basis.

See Action and batch action descriptions for more information about the actions available on lists.
